This role will be reporting to the Principal Corporate Services Officer, Organisational Safety and Wellbeing.Your role:As the Administration Officer, you will provide:
- Provide administrative and financial services to support the activities of Organisational Safety and Wellbeing in the delivery of timely and quality client services.
- Support the delivery of health and safety operational programs including the Hearing Conservation Program, health and safety training delivery and email correspondence requiring high level administrative and time management skills.
- Access and operate administrative and technical databases and financial records management systems, process information and prepare associated reports.
- Provide accurate data entry, record management, data collection/analysis, word processing and administrative services including file management of confidential medical records for the Hearing Conservation Program
- Assist with ordering, stock control, records/file management and financial management.
- Conduct purchasing processes in alignment with finance requirements including creation of purchase orders, recoupment documentation and payment of invoices including review and reconciliation of monthly Hearing Conservation Program invoices.
- Liaise with Finance team and school staff to respond to finance enquiries.
- Provide routine information and advice on administrative, personnel and financial issues to management and staff.
- Receive telephone and email enquiries and respond in a professional and timely manner, providing information as required, or where necessary direct the queries to the appropriate area.
- Administer and manage (track) time sensitive generic email accounts.
- Manage course enrolment and tracking documentation including certificates of completion for participants.
- Organise travel and accommodation bookings and associated expense claims for staff and clients.
- Support induction programs and training for administrative officers and/or trainees.
- Perform a variety of administrative or support services as directed.
- Undertake work activities in a cooperative and supportive manner and as an active member of a diverse work team.
- Manage complex administrative tasks, prioritise and action multiple competing tasks.
- Attach a brief resume including contact details for 2 referees (referees should have an understanding of your relevant work history)
