Administration Support Officer - Brisbane North Homestay
Full-Time, Fixed Term to 30 June 2024 (with possible extension)
Classification Level 3.1 (SCHADS Award)
Due to organisational growth, Encircle are seeking an experienced Administration Support Officer to support our Zillmere team, who are dealing with vulnerable individuals and families, experiencing complex and high needs.

About the Team
Our Housing and Neighbourhoods team deliver programs that Encircle implements on behalf of the Queensland Government, working in close cooperation with a range of other service providers, peer and community networks, and local governments.
Our Housing activities have three major areas of focus – homelessness outreach, service integration early intervention (Homestay). Our Homestay service utilises an early intervention model, supporting people at risk of losing tenancies and helping them avoid homelessness. The Homestay service operates under significant pressure, responding to the needs of people in very vulnerable situations.
About this Role
Working with the Brisbane North Homestay team, you will provide Administration Support to the Homestay team, data collection and scheduling.
Duties:- General administrative tasks covering, but not limited to:
- respond to organisation and community member enquiries related to the program;
- coordinate program related appointments;
- support program staff with document/material generation;
- support the capture of data in generating reports; and
- manage, maintain and distribute materials as requested.
- Maintain confidentiality of all client information.
- Actively participate in team meetings.
- Additional administrative tasks as requested.
- High level time-management skills, with the ability to prioritise tasks.
- Able to manage the handling of sensitive information/materials.
- Able to engage with community members from a diverse range of cultural backgrounds.
- Understanding of Social Justice Principles.
- Able to work autonomously.
- Sound problem solving skills.
- Work effectively as a collaborative team member.
- Intermediate skills with Microsoft Office suite.
Key Selection Criteria
To be successful in this role you will be able to:
- Demonstrated ability to engage with services and community members presenting to the program for support.
- Demonstrated understanding of the needs, issues, and sensibilities of all people, including First Nations peoples and those from culturally and linguistically diverse backgrounds.
- Demonstrated ability to manage sensitive program documents/materials within a Client Management System, or similar database environments.
- Experience in collecting data as part of internal and external reporting processes.
- Demonstrated understanding of Social Justice principles.
- Demonstrated time and organisational management skills, and ability to prioritise when necessary.
- Demonstrated ability to work within a fast-paced program environment, and within a team setting.
- Demonstrated intermediate Computer skills including Microsoft software applications.
Required Qualifications and Experience
- Minimum of Cert III in Administration or equivalent experience or qualification.
- A minimum of 1 years’ experience as a receptionist or administration officer.
- Experience working in a program setting within a community services organisation.
