Role Overview:
We are seeking a warm and efficient Administration Support/Receptionist to join our team. As the first point of contact for our company, you will play a crucial role in ensuring our visitors and customers feel welcomed and valued. Additionally, you will provide essential administrative support to various departments, contributing to the smooth operation of our business.
Key Responsibilities:
1. Warm Reception:
- Be the welcoming face and voice of our company by greeting and welcoming customers and visitors in a courteous and professional manner.
2. Efficient Communication:
- Answer and direct phone calls to the appropriate department or individual, ensuring that callers receive prompt and accurate assistance.
3. Administrative Support:
- Provide valuable administrative support to various departments, as needed, to facilitate smooth business operations.
4. Maintaining a Welcoming Environment:
- Ensure the reception area and kitchen are tidy, well-organized, and presentable, creating a positive impression for all visitors.
5. Data Entry & Management:
- Assist with electronic filing and data entry tasks, helping to maintain organized and easily accessible records.
6. Mail Handling:
- Receive, sort, and distribute daily mail efficiently and accurately.
7. Facilities Management:
- Oversee client bookings, ensuring seamless scheduling for meetings and events.
8. Supply Management:
- Order office supplies and maintain inventory to ensure essential items are always available for the team.
Requirements:
- Previous experience in a similar administrative support or receptionist role preferred.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Strong organizational skills with attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Professional demeanor with a customer-focused approach.
- Proactive attitude with the ability to work both independently and as part of a team.
