The Opportunity
Our invaluable administration team provides flexible, collaborative business and project support to ensure the professional delivery of client programs to the Queensland team.
You will enjoy a variety of interesting tasks with workflows that often change or move rapidly, primary responsibilities include but are not limited to:
Supporting Project Mangers with a variety of tasks such as:
- Updating the financial status of projects in progress.
- Preparation of invoices and claims.
- Setup of projects and maintaining data in our companies ERP system.
- Preparation of tenders and quotes.
- Tracking forward workloads, leads and bids.
- Client management.
- HSEQ requirements and document control.
- Mail/electronic mail distribution /coordination.
- Managing front office and reception.
- Procurement of general office supplies/ equipment.
- Coordinate Meetings and appointments.
- Maintain various office registers and logs.
To be successful in this role you will demonstrate:
- Excellent communication skills - written and verbal with the ability to develop relationships with key stakeholders internally and externally.
- Excellent team playing skills and pro-active attitude.
- Demonstrated experience in an Administration role.
- Strong skills in Microsoft Office Suite: Outlook, MS teams, Excel and Word.
- Proficient data entry skills using financial and client management software: invoicing, job creation, client profiles, Accounts Payable/Recievable.
- Excellent time management, the ability to quickly adapt to new circumstances or juggle multiple daily tasks and deadlines.
- Attention to detail in the accurate processing of records.
- Familiar with modern filing systems and the application of naming conventions.
