About the RoleThe Administrative Support Assistant will be responsible for providing administration support and functions to all AJ Grant branches nationally. You will be involved in all aspects of our building work orders from the initial client allocation to the handover to our building teams at branch level. In this role, you will be accountable for delivering exceptional customer service and support to all primary stakeholders all whilst ensuring that you are meeting set KPIs.
Key responsibilities and tasks of this role include, but are not limited to;
General:
- Maintain client and customer satisfaction, adhering to contract requirements and Service Level Agreements (SLA’s)
- Where possible, cross-sell AJ Grant Group businesses to create opportunity for Makesafe, Restoration, and Private Works.
- Build and maintain key relationships, including all AJ Grant staff, client and contractors.
- Identify opportunities for improvement in processes
- Maintain focus, ensuring we achieve quality results in relation to our client SLA’s and company strategic goals
- Utilise the company’s database to record job progress through various stages of the works being carried out
- Action all forms of communication including email queries and system communications.
Tasks:
- Ensuring Submission KPIs are being met daily in line with insurance SLA’s
- Excellent attention to detail
- Submitting all insurance reports, scope of work and services costs through to the IC via email or portal
- Following up on submission delays due to outstanding trade invoice
- Action all approved claims and progress to the next stage including issuing contracts to the customer.
- Monitor and maintain national submission email inboxes and communication portals.
- Send progress updates to clients
- Sending expert reports to clients
- Contact with clients, trade, and key stake holders during assessing process.
- Contact with client and key stake holders during ‘await assessment’ statuses period of a job
- Provide a shared service, assisting branches in additional administration duties where needed during events/busy periods.
- When required perform other reasonable duties as directed by Management.
- Respond to, manage, and answer high volume inbound calls directed through our 1300 number in a timely and professional manner, recording details of all conversations in our database system in a comprehensible way.

- Prior customer service experience with demonstrated skills
- Excellent communication skills, both verbal and written
- Ability to manage multiple tasks at once in a busy and diverse environment
- Results-oriented and innovative mind-set
- Ability to problem solve and action customer issues
- Intermediate skills in Word & Excel
