AV is seeking an experienced Administrative Support Officer (ASO) to provide full range of high-level administrative support and related services across Adult Retrieval Victoria (ARV) as required to support the Director and the Operations Manager's Day to day activities.
This is a full time, permanent position currently based at AV's South Melbourne complex.
ABOUT THE ROLE
Reporting to the Operations Manager of ARV, the ASO acts as the initial point of contact for the Adult Retrieval department.
Responsibilities of this position include, but are not limited to:
- Screening calls, answering routine enquiries and processing messages for follow-up/action/referral.
- Assist the management team with administrative and secretarial support including diary management, organising meetings, coordination of travel and accommodation arrangements, preparing high quality documents, reports and related material.
- Provide secretarial support at meetings, including preparation of agenda items and supporting documentation, and recording, preparing and distributing minutes.
- Review and screen submissions, business cases, briefing notes and memos to the Director and the Operations Manager and ensure compliance with ARV policy and procedure.
- Establish and maintain business systems for ARV department as requested to ensure the efficient retrieval and dissemination of information
- Provide support and advice regarding ARV purchasing activities including processing invoices and managing petty cash. Liaise with suppliers and AV Procurement department to resolve issues
The ideal candidate has
- Tertiary qualification in a business administration, human resources or related experience in this discipline
- Extensive experience and expertise in providing secretarial and administrative support at a senior management level
- Experience in the development and maintenance of administrative systems
- Experience in using computerised financial information systems, word processing and spread sheeting applications including advanced computer skills and proficiency of Microsoft Office suite applications including Outlook, PowerPoint, Word, Excel and the Internet
- Knowledge of medical terminology

This position is graded an ACS4A for which the annual salary is $76,263 plus 10.5% superannuation.
