The International Centre of Excellence in Tourism and Hospitality Education (THE-ICE) is an Australia-based international accreditation and quality enhancement agency, serving global universities, colleges, and private institutions specialising in higher education in tourism, hospitality, events and culinary arts (TH&E) training and research.
In addition to accreditation, THE-ICE assists member institutions to enhance the quality of their education provision and facilitates the development of best practices through supporting analytical research into student satisfaction, hosting an annual international conference (International Panel of Experts Forum), and coordinating a global student competition and research grant scheme.
About the PositionTHE-ICE seeks a competent, professional and service-focused person to join our small executive team. The ideal candidate will have experience, preferably in higher education or quality assurance / enhancement. The successful applicant will be responsible for the administration of THE-ICE and oversee our communication and marketing. Although the role is predominantly a ‘work from home’ position, attendance at some onsite meetings (in the Brisbane area) and occasional interstate and overseas travel will be required.
This highly flexible position is a 0.8FTE (part time) role, but THE-ICE is open to consider 1.0FTE (full time) for the right candidate.

Reporting RelationshipsThis position reports to THE-ICE Operations Manager and CEO.
DutiesResponsible for day-to-day administration and assist with coordination and/or management of key projects. Duties include, but are not limited to:
1. Marketing and Communications
- Maintain accuracy and currency of THE-ICE website content and online and offline promotional collaterals, including content creation and publishing.
- Assist with the servicing of existing members and partners of THE-ICE and the recruitment of new members, including distribution of announcements and information.
- Coordinate THE-ICE Blog, including creating and publishing articles.
- Manage and maintain accuracy and currency of THE-ICE social media platforms, namely Facebook and LinkedIn, including THE-ICE Scholarship and Research group via LinkedIn.
- Coordinate and promote corporate social responsibility activities, and liaise with CSR partners.
- Occasional travel to attend high profile events nationally and internationally may be required.
2. Event Coordination
- Assist with coordination of all logistics relating to THE-ICE’s annual signature event – the International Panel of Experts (IPoE) Forum.
- Coordinate THE-ICE Webinar Series.
- Coordinate THE-ICE annual international student competition, THE-ICE Global Revenue Management (GRM) Challenge, in cooperation with THE-ICE Executive Team and relevant partners.
4. General Administration
- Coordinate logistics, and record and manage collation, coordination, and distribution of meeting papers and minutes for IPoE Forum Work in Progress (WIP), Executive Committee, Assessment Panel, College of Fellows, Executive Team, strategic partners, and any other ordinary or extraordinary meetings, as and when required.
Work in close cooperation with the Executive Team to:
- Conduct post-event surveys and summarise findings for THE-ICE GRM Challenge and THE-ICE IPoE Forum, and other events as required.
- Administer the production and maintenance of standard operating procedures and operational manuals.
- Coordinate monitoring, maintenance, and updates of current member tracking report/s.
- Maintain accuracy and currency of the master contact list.
- Revision and subsequent maintenance of the OneDrive database.
5. Other Duties as may be required from time to time.

- Highly developed written and interpersonal communication skills.
- Ability to successfully establish and sustain effective relationships with stakeholders, including the capacity to deal with international and culturally diverse client groups.
- Willingness and ability to occasionally travel interstate and internationally, as required.
- Experience in commercial business practices.
- Sound knowledge in the preparation of meeting minutes, website content (using WordPress) and social media content.
- Experience in supporting a national and/or international organisation through the planning and delivery of events such as conferences, forums and workshops.
