You will be the Records Management Specialist (RMS) for the Enterprise Resource Planning Program (ERPP), responsible for:
- Creation and management of information structures within Records Management systems;
- Building and maintaining security models and access control within Records Management systems;
- Development and maintenance of Records Management related policy and procedures at the Program/Division level;
- Providing assistance in the investigation and reporting of Records Management incidents including data spills and access incidents;
- Providing advice and assistance to ERPP personnel on Records Management best practices and the use of the Records Management System functionality;
- Providing first line escalation point for ERPP Objective Work Group Coordinators;
- Conducting and monitoring Workgroup maintenance and assurance activities; and
- Being the spokesperson for ERPP on Records Management technical system changes and/or upgrades.
The Defence Digital Group (DDG) Information and Records Management team within the Directorate of Business Services provides advice into broader Defence Information and Records Management policy and frameworks, and develops Group level policies, frameworks, and practices. The unit also provides advice to managers/commanders, and operationally supports, both technically and as the head of community, DDG Information and Records Management practitioners.As ERPP RMS you will be part of a dynamic team consisting of six RMS positioned across the Group, administratively working within ERPP Executive team and receiving operational direction from the DDG Information and Records Manager (IRM). You will assist the DDG IRM to implement Information and Records Management principles and best practice within ERPP, IAW Defence Policy and Legislation.As ERPP RMS you will manage Records Management initiatives including remediation, and work in collaboration with Workgroup Coordinators to achieve Records Management obligations and desired results.Our Ideal Candidate
As the Records Management Specialist for the Enterprise Resource Planning Program (ERP):
- You will assist the DDG Information and Records Manager in implementing Information and Records Management initiatives across ERPP IAW Defence policy and the Archives Act 1983;
- You will require a sound knowledge and understanding of compliance with Records Management legislation, policy and regulatory requirements through the Records Management lifecycle;
- You will be accountable for the accurate completion of work within timeframes and quality requirements and be able to research and analyse Information and Records Management activities to identify and address risks,
- You will have a strong track record of working collaboratively, establishing and maintaining constructive relationships with a broad range of stakeholders;
- You will conduct Information and Records Management compliance monitoring, and reporting activities for Records Management systems and practices, and recommend viable solutions and prevention strategies;
- You will provide guidance and training on the Information and Records Management lifecycle to a diverse and integrated workforce; and
- You will have expertise in the ongoing administration and management of an Electronic Document and Records Management System.
