Our goal is to be the best place to work, learn and contribute, and to provide exceptional experiences for our patients and consumers.About ArchivesThe Archives Department will primarily be based at the Carlton site, however work will be undertaken across both Parkville and Carlton campuses. It is responsible for overseeing both the historical and cultural memory of the hospital as well as the management of the hospital’s corporate and acute records. This service sits under the Health Information Services (HIS) structure.Health Information Services (HIS) at the Women's covers a range of services including Electronic Medical Record (EMR) support, scanning, medical record retrieval for patient care and research, clinical coding, statutory reporting and data integrity, Privacy, Freedom of Information (FOI) requests, medical enquiries/release of information (ROI) requests and medical transcription (outpatient service).HIS also looks after the Archives Department, which is responsible for overseeing both the historical and cultural memory, as well as advising the corporate records retention & destruction process for the hospital, according to relevant statutes, legislation and retention authorities.HIS sits within the Informatics Department which has 4 key portfolios:
  • Electronic Medical Record (EMR)
  • Business Intelligence & Analytics
  • Health Information Services
  • Archives
This Project Manager role will be responsible for implementing the outcomes of the completed Archives review and will be responsible for project and change management from planning through to execution and benefits monitoring stages. Please note: this is a hands-on position with the incumbent undertaking a lot of the deliverables.The Project Manager will work collaboratively and harness the expertise of multiple stakeholders to deliver proposed improvements. The type of project in scope will deliver systems and efficiency improvements, new business practices, sustained change and contribute to exceptional experiences for our patients and staff.This position will undertake and manage a tender process from inception through to completion for the Women’s Secondary Storage facility in late 2024. There will also be an opportunity to review records that may be considered for destruction according to Public Records Office, Victoria (PROV), Retention and Destruction Authority (RDA).Reporting to the Manager, Health Information Services, this position utilises project management discipline and methodologies (ie. Prince2, Agile etc), business acumen and engagement skills to ensure strong collaboration and successful execution of high-value, high-impact projects.A regular day will see you:
  • Develop a project plan to ensure outcomes of the completed Archive review are scheduled and delivered within project timeframes, with a major review into transitioning an Access Database into a suitable content management solution, as well as a plan for digitising of Archives content.
  • Drive end to end project delivery through day-to-day management of activities against the project plan. This will include in many cases actually developing the artefacts/deliverables, i.e. updating policies, processes, tools, writing communications, and being quite hands-on in the tasks where necessary.
  • Ensure projects have clear objectives, effective resource allocation, realistic timelines and risk assessments
  • Prepare written reports to communicate progress and inform projects decisions, including briefings, discussion/decision papers, project proposals and status reports
  • Evaluate systems and processes to identify potential projects and to continuously improve systems
  • Contribute to the overall performance and positive culture of the HIS team and broader organisation

  • Tertiary qualifications in one of the following: information studies (Records and Archives Management), records management, health information management, project management, or equivalent
  • Extensive business improvement and project management experience including hands-on project management leadership
  • Knowledge and/or qualification in one or more methods - Project Management, Change Management, Co-Design, Problem Solving and Facilitation
  • Team player who understands the value of sharing information, develops and maintains constructive relationships and shows commitment to team objectives
