The Opportunity
We now have an exciting opportunity available for a Business Support Assistant to join our Operations team in Brisbane CBD on a full time permanent basis.
Reporting to the General Manager Operations & Maintenance, you will play a key role in providing high level executive, organisational and administrative support. This support will ensure streamlined core processes and effective communication with key stakeholders as well as expert level efficient coordination and delivery of the business tempo and operating rhythm for the leadership team.
Key Responsibilities
Interface with the Operations & Maintenance key stakeholders to prioritise and action requests, taking decisive action to optimise the General Managers time
Support General Manager with:
Managing communication with stakeholders
Managing calendars, inboxes and logistics
General administrative and budget support
Coordinate and administer business reporting against metrics for the Operations & Maintenance leadership team
Own and deliver the team operating rhythm, including:
Coordinate team meetings
Coordinate team workshops
Administer communications and deliverables (presentations, email, management papers)
Develop and administer the Operations & Leadership leadership team planner and coordinate sharepoint pages
Support the completion of actions and timely responses
Support the health, safety and wellbeing culture of the organisation.
Your background
- Qualifications or ongoing study/professional development in Business Management /Administration
- Highly engaging who can work with multiple different styles of leader
- Demonstrated effective written and verbal communications
- Demonstrated experience in exercising confidentiality and careful handling of sensitive information
- Ability to exercise discretion, initiative and judgement in varied contexts within established policies and procedures.
- Expert knowledge of Microsoft Office including Outlook, Excel, Word, PowerPoint
- Expert knowledge of Sharepoint.
About the Team
This position supports a significant role within the APA business. The General Manager of Operations & Maintenance has a diverse portfolio of assets which are complex including various technologies such as processing plant, gas transmission, electrification, renewables, and power generation. The team of approximately 500 people, are geographically dispersed located in every state of Australia. The Operations & Maintenance are responsible for ensuring that our assets are operated and maintained safely and efficiently to meet our customers' requirements. Relationship management is paramount to our success.
