Purpose
The .5 FTE part time role is pivotal in providing comprehensive administrative support to the Executive Officer of Downs & West Community Support (DWCS) reporting to the Executive Officer. A deep understanding of rural and remote Queensland and a keen awareness of the unique challenges faced by individuals living in the outback would be advantageous in aligning with the vision, mission, values, and ethos of the DWCS.
Primary Duties
Office Management: Keep the office running smoothly by tidying up, stocking supplies, and ensuring everything works.
Database and Contact Management: Stay on top of our databases, contacts, and email lists for DWCS activities.
Calendar Management: Help the Executive Officer manage their schedule to maximise their time.
Filing and Correspondence: Keep our files organised, handle letters for the Executive Officer, and make sure records are accurate.
Meeting Support: Get meetings organised, take notes, and help with reports to keep things running smoothly.
Travel and Accommodation: Sort out travel and places to stay for the Executive Officer and staff when needed.
Event and Material Preparation: Assist in preparing everything for events, retreats, and presentations, so we have what we need.
Donation Management: Keep track of donated items and make sure they're safe and accounted for.
Adaptive Role: Be ready to switch gears and help keep our mission on track wherever needed.
Travel arrangements: Arrange travel and accommodations for staff as needed- We are all volunteers.
Skills and Qualifications:
Prior experience in an Executive Assistant capacity
Strong organisational and time-management skills, with exceptional attention to detail.
Proficiency in computer applications, including Microsoft Office Suite and database management.
Excellent communication skills, both written and verbal.
Adaptability and willingness to take on new responsibilities as needed.
