Business Support Officer
Australia's largest public museum organisation, is seeking a Business Support Officer. We are looking for a driven, highly organised individual with strong attention to detail to join the Museum Spaces team being part of the Development and Commercial Operations Department. This position is to coordinate the administrative work and provide support to the Museum Spaces team. It is accountable for contributing to the effective operation of Museum Spaces through the provision of efficient and timely business and administrative support around events sales and operations. This includes ensuring a harmonious relationship between Museums Victoria and its clients, contractors, suppliers and stakeholders.

ABOUT THE POSITION:
The purpose of this position is to coordinate the administrative work and provide support to the Museum Venues and Events team.
Primary Accountability
The position is accountable for contributing to the effective operation of Museum Venues and Events through the provision of efficient and timely business and administrative support around events sales and operations. This includes ensuring a harmonious relationship between Museums Victoria and its clients, contractors, suppliers and stakeholders.
Duties

* Provide high-level administrative support to the Manager, Museum Venues and Events and other managers including filing, routine correspondence, internal event RSVPs, minute taking, general phone, email and calendar management and following up on enquiries.
* Administration of financial and business systems (requisitions, purchase orders, invoicing, some contract administration, venue space bookings system), and sales support (limited research tasks).
* In consultation with the Manager, develop and implement effective business tracking processes and systems and interpret and consolidate reports.
* Provide support where required in relation to sales and marketing activities.
* Maintain a highly organised work area, use initiative and problem-solving ability and work effectively as part of a team in a busy environment.
* Assist with monitoring of customer feedback - helping to ensure world class standards are maintained.
* Operate and maintain the event/space management software system
* Provide high levels of customer service to both internal and external clients.
* Be a key point of contact for clients, caterers, suppliers and stakeholders; develop and maintain excellent working relationships.
* Administer the business requirements around Priava the event/space management software and working closely with internal stakeholders, administer internal event enquiries and ensure the data is maintained.
* Work collaboratively across the department and organisation to contribute to achieving the commercial objectives.
* Comply with Museum Victoria's policies and procedures and with relevant legislation and regulations and ensure Occupational Health & Safety standards are reinforced and maintained.
OTHER INFORMATION:
This is a full time, fixed term until 11 April 2025 position. The salary on offer is $56,834 perannum(pro rata) + 11% superannuation.
