Purpose of the roleWe’re currently seeking a proactive, highly experienced Executive Assistant to provide the highest quality of administrative and secretarial support to our Chief Information Officer. To excel in this high-profile role, you’ll improve processes and maximise the productivity of those you support in order to achieve objectives, while promoting and supporting a strong governance culture.What are we looking for?Extensive experience working as an Executive Assistant to Directors, Executives or similar A proactive approach with strong decision-making capabilities and the ability to influence outcomes, as appropriate.Exceptional interpersonal and communication skills (both written and verbal), displaying high levels of professionalism and the ability to adjust communication style to target audience.High levels of integrity and discretion with the competence to treat confidential information appropriately.Outstanding attention to detail, time management and organisational skills.The ability to adapt quickly to shifting priorities.Experience independently managing the collation of meeting agendas and meeting packs.Advanced PC skills with strong proficiency in MS Office, including PowerPoint.Diploma or higher education qualification in a relevant field such as Administration (desirable).Experience within Financial Services (desirable).What will your key responsibilities include?Provide day-to-day administrative and secretarial support to our Chief Information Officer.Managing meetings of Directors and Executives, including meeting logistics, agenda building, minute taking and supporting stakeholders with action items.Actively anticipating the needs of stakeholders and demonstrating courteous, prompt and professional service to them.Supporting stakeholders through change, including introduction of new technologies, systems and processes.Building strong relationships with stakeholders to effectively manage time commitments and ensure priority matters are dealt with in a timely manner.Providing proactive administrative support, including liaising with key internal and external contacts, scheduling and general communications.Preparing documentation and presentations, including collation, editing and distribution.Providing diary management and coordination of business meetings.Assisting with the organisation of staff events and conferences.Budget and expense processing and reporting.Carrying out specific projects and research.Please note, this role will primarily be based at our Tudor Street, Hamilton office but will occasionally require attendance at our King Street, (Newcastle West) office.
