Primary objective
To provide a high level of administrative and business support to the Northern Territory Emergency Service, Learning and Development
Command ensuring the delivery of effective and efficient client focused services and is the primary position for quality assurance of
training records in the VETtrak and ADAPT database systems. It is also required to undertake duties as part of, or in support of, an Incident
Management Team (IMT) during emergency operations including outside normal business hours
Key duties and responsibilities
Provide general administrative duties for the Learning and Development Command – document preparation, photocopying,
monitoring email accounts, making travel arrangements, etc.
Respond efficiently to routine enquiries and calls by internal and external clients; screening, prioritising and redirecting enquiries as
necessary.
Coordinate the scheduling of meetings, compiling and distribution of documents in preparation for meetings as well as recording,
filing and dissemination of accurate minutes.
Provide ad hoc and scheduled reports on business activity, member skills and qualifications.
Co-ordinate procurement of goods and services in accordance with Command requirements and in line with the PFES accounting and
property procedures, including liaising with suppliers, purchasing, and coding of invoices.
Compile training material, oversee the issuing and return of training resources and inventory to the staff and volunteers.
Assist with control of assets, consumables, training resources and inventory for Learning and Development Command.
Create and review standard operating procedures (SOP) and checklists.
Carry out ad hoc project work in the delivery of key activities, including coordinating and assisting in setup of training programs.
Selection criteria
Essential
1. Demonstrated experience in an administrative/clerical role including, procurement of goods and services, processing financial
transactions and administration of meetings, preferably in a vocational or adult education environment.
2. Demonstrated sound communication skills and the ability to build and maintain effective networks and collaborative partnerships
with a range of internal and external stakeholders.
3. Demonstrated experience in developing agendas, minute taking and the administration of meetings and the ability to prepare
correspondence with accuracy and attention to detail.
4. Demonstrated ability to use Microsoft computer software packages with a working knowledge of government systems, records
management systems and databases (EIMS, GAS, BOXI, TRIPS, ECMS, TRM, WebEOC and VETtrak) or an ability to quickly learn.
5. Proven initiative and self-motivation with the ability to work independently, as well as part of a team, proven ability to perform under
pressure, meet deadlines and work effectively with minimal supervision.
6. Current NT drivers licence for a manual vehicle or ability to obtain.
Desirable
1. Experience working in a Registered Training Authority, including online learning systems
2. Sound knowledge of emergency service volunteers, including their core functions and training requirements.
3. Experience working in an Incident Control Centre or Emergency Operations Centre.
4. Certificate in Business.
