The role:

We are seeking a dynamic and enthusiastic Receptionist / Officer Coordinator to join our team. In this role, you will be responsible for providing front of house administrative, clerical, and general office support, ensuring the smooth day-to-day operation and management of our Brisbane Front Office.

Key responsibilities

  • Serve as the first point of contact for all visitors, clients, and guests, providing a warm and professional welcome.
  • Manage incoming calls, emails, and correspondence, directing them to the appropriate individuals and ensuring timely responses.
  • Coordinate and schedule appointments, meetings, and conferences, making necessary arrangements and managing calendars.
  • Maintain an organized and efficient office environment, including managing office supplies, equipment, and facilities.
  • Assist with basic financial tasks, such as processing invoices, expense reports, and reimbursements.
  • Support the team with administrative tasks, including drafting correspondence, preparing documents, and managing files.
  • Collaborate with internal stakeholders to ensure seamless coordination and communication across departments.
  • Act as a liaison between clients, employees, and external vendors, addressing inquiries and resolving any issues promptly.

Who are we looking for?

  • Previous experience in an administrative or coordination role, preferably in a corporate setting.
  • Excellent organizational and time management skills, with the ability to prioritise tasks effectively.
  • Strong attention to detail and accuracy, ensuring all work is completed to the highest standard.
  • Exceptional communication and interpersonal skills, with a friendly and professional demeanour.
  • Proficient in using office software, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Proven problem-solving skills, with the ability to adapt to changing priorities and handle multiple tasks simultaneously.
  • Knowledge of basic financial and bookkeeping principles is a plus.
  • Bachelor's degree in business administration or a related field is preferred but not required.
