About the Role
General Administration Tasks:
- Meet and greet clients
- Answering phones
- Provide administration support to Dealer Principal and Brokers
- General clerical duties and Office administration
- Maintaining a clean and tidy office space
- Liaising internationally via email and over the phone with clients and suppliers
- Ordering of vessel parts and arranging International shipping
- Attend to customer support requests
- Provide after-hours support to the Managing Director and customers as and when requested
- Managing marina berth bookings and record keeping of vessel movements in various location around the east coast of Australia
- Assist in arranging national and international travel bookings: flights/hotels/car parking/car hire
- Assisting with boat show organisation
Computer Tasks:
- Daily use of email, Word, Excel & Adobe
- Calculating pricing information via Excel spreadsheets
- Creating and emailing marketing material to client database
- Managing various database
Contract Administration:
- Contract management oversight (issuing and receiving contracts with high attention to detail).
- Receipting payments and issuing receipts
- Searching, registering and removing PPSR registrations
- Managing boat registrations and transfers
- Coordinating customer insurance requirements
- Maintaining hardcopy and electronic vessel files to a high standard (ready for external audit revie)
Advertising Related Task:
- Managing sales enquiries via online websites and inbound telephone inquiries
- Data entry of sales listings enquiries
About You
- QLD Drivers Licence (Essential)
- Must have advanced Excel processing and written communication skills
- Recent reception/administration experience with a legal background highly regarded
- Excellent customer service, enthusiastic, self-motivated, team player, well presented (Essential)
- Flexibility with work hours (including afterhours customer telephone inquiries, and some weekend work required around trade show preparation and participation)
- Ability to work under pressure
- Ability to constantly reprioritize tasks to achieve evolving deadlines – with continued high accuracy.
