Job description

About the role 

Be the welcoming face of this boutique firm in the heart of Melbourne CBD, you'll be involved in meeting & greeting clients coming into the office as well as supportive with general administration.

Key Responsibilities

  • Warmly welcome clients and visitors, managing meeting room availability.
  • Handle incoming telephone calls efficiently, directing them to the appropriate staff member.
  • Create and maintain new file matters and client cards.
  • Conduct conflict checks.
  • Maintain both physical and digital filing systems.
  • Assist in drafting basic documents and correspondence as needed. 
  • Perform general administrative tasks including data entry, photocopying, and scanning.
  • Maintain and organise office equipment.
  • Ensure cleanliness and tidiness of the office.
  
Requirements
  • Excellent verbal and written communication skills.
  • Ability to engage effectively with clients.
  • Strong organisational and time management skills.
  • Capability to prioritize tasks and thrive in a fast-paced environment.
  • Previous experience in a client-facing, receptionist, or administration role.
  • Ability to work independently when necessary.
  • Proficient in Microsoft Word and Outlook with accurate typing skills.
  • Meticulous attention to detail with impeccable spelling and grammar.
