About the Role
We have an exciting opportunity for an Electrical Works Coordinator & Project Administrator to join our team.
Location: Project sites (QLD and NSW)
Contract Type: Full time, fixed term
Reporting to the Site Manager, you will be a valuable member of the team responsible for coordinating (in collaboration with Site Management), the electrical self-performing works on site and providing general project administration support to the team on all aspects of project delivery.
As an Electrical Works Coordinator & Project Administrator, your key responsibilities will include:
- Working with the Electrical Superintendent and Electrical Supervisor, assist in the coordination of the Electrical self-performing works on site, including the planning, sourcing and management of labor, equipment, and materials.
- Assisting in the onboarding of labor hire, including ensuring paperwork/qualifications are received and uploaded into the relevant system and site inductions are completed.
- Assisting the Electrical Superintendent and Electrical Supervisor to monitor and ensure labor hire works are completed to schedule, budget, and quality.
- Conducting field inspections of the work in progress and share any deviations or deficiencies with Construction Manager, Site Supervisors and the Quality Team.
- Assisting in the coordination of digging trenches, footings and other civil works in preparation for Electrical installation.
- Assisting with fetching and carry tools and materials.
- Assisting in the coordination of erecting solar panel support frame.
- Coordinating the attachment of panels (if ELV).
- Under the supervision of the Electrical Superintendent and Electrical Supervisors coordinate the wiring support and enclosures.
- Assisting site management and supervisors in the coordination of electrical and electronic systems.
- Assisting Site Supervisors with the inspection of designs for quality control, report findings and providing recommendations.
- Assisting Site Supervision with reviewing site conditions and relaying back to Design team.
- Assisting site management and supervisors in the coordination of adjustments and replacement of broken electronic components and circuitry.
- Assisting Site Supervisors and the design team in coordinating the clarification of design details of experimental electronic units.
- Providing administrative assistance to the project team with all aspects of project delivery.
- Processing all project-related invoices within a timely manner.
- Accurately uploading all finance/project related documents into Project Management software (Procore).
- Attending and minuting weekly construction progress meetings, daily schedule updates, and process reports throughout the construction.
- Ensuring the timely follow up with meeting action items with relevant team members and contractors.
- Preparing site files, project documentation and manuals as required by site team.
- Preparing monthly progress claims for projects in consultation with project team for review.
- Supporting contract department on Extension of Time (EOT's).
- Collaborating with procurement to source and secure required labor, services, and equipment.
- Assisting in the collection and uploading of project documentation into the Quality Management System.
About You
To be successful in this role, you will have:
- Supporting contract department on Extension of Time (EOT's).
- Collaborating with procurement to source and secure required labor, services, and equipment.
- Assisting in the collection and uploading of project documentation into the Quality Management System.
- Previous Experience in a similar role (Trade Assistant, Project Administrator/Coordinator) within energy, construction, mining & resources, or infrastructure project.
- Understanding of project administration and project risk management.
- Exposure to site construction and/or operation and maintenance issues.\
- Strong communication, analytical and interpersonal skills.
- Ability to influence and work effectively with project stakeholders.
- Highly organized with attention to detail and ability to meet deadlines.
- Excellent communication, organisation, and proactivity skills.
- Previous experience processing high volume of invoices.
- Intermediate to advanced knowledge of Microsoft Package software(s).
- A current Vehicle Driver’s License (preferred).
- A current white card for the construction industry (mandatory).
