Position Purpose: The Events Manager oversees all aspects of event coordination, ensuring excellent customer service, and fostering business development opportunities. This role demands strong leadership skills, exceptional organizational abilities, and a commitment to delivering exceptional event experiences.
Key Responsibilities and Accountabilities:
- Coordinate all aspects of events, including administrative tasks, customer communication, and logistical arrangements.
- Arrange and coordinate various aspects of events, including catering, signage, displays, audio-visual equipment, accommodation, and transport.
- Provide a high standard of customer service to all members, patrons, and visitors, addressing inquiries related to services, associated costs, room hire, equipment rental, catering options, and related services.
- Direct administrative details, such as financial operations, dissemination of promotional materials, and responses to inquiries.
- Liaise with clients to understand objectives, requirements, and budget, negotiating fair agreements.
- Negotiate services and contracts with vendors to secure the best deals within the provided budget.
- Supervise event setup and breakdown, ensuring smooth operations and reporting back to the team and management.
- Provide on-site event support, troubleshoot issues, and conduct post-event evaluations to ensure client satisfaction.
- Create comprehensive Event Orders including timelines and tasks for each event, ensuring deadlines are met.
- Delegate tasks effectively and ensure team members are briefed on their responsibilities.
- Coordinate with duty managers, venue managers, and staff for event preparation details.
- Implement event plans, promote upcoming specials, and assist in developing marketing strategies.
- Contribute to the development of a highly effective team through participation in meetings and planning sessions.
- Drive new business initiatives with a focus on specific months.
- Develop and manage content for digital, web, and print platforms.
- Analyze customer feedback to identify areas for improvement in future events.
- Organize venue run sheets, CRM/database management, and email correspondence.
Skills, Experience, and Qualifications:
- Demonstrated experience in event coordination and management.
- Strong organizational, administrative, communication, and negotiation skills.
- Ability to multitask and work efficiently under pressure.
- Familiarity with CRM/database management and email systems.
- Leadership and mentoring experience for junior team members.
