The Role:
As the Executive Assistant / Office Manager, you will play a pivotal part in ensuring the smooth operation of the office. This multifaceted position demands exceptional organizational skills, attention to detail, and the ability to manage diverse tasks in a fast-paced environment. Your day-to-day responsibilities will include, but not be limited to;
- Providing comprehensive support to the CEO & COO, including diary management, meeting coordination, and document preparation.
- Liaising with internal departments to facilitate seamless information flow.
- Arranging travel logistics, monitor expenses, and ensure compliance with budgetary constraints.
- Assisting with invoicing, payments, and expense reports.
- Managing ad hoc tasks and special projects as required by the Directors.
- Handling general administrative duties and act as the first point of contact for office communications
- Coordinating meeting schedules and ensuring meeting spaces are prepared.
- Ordering office equipment, supplies, and managing supplier relationships.
- Collaborating with departments to resolve clerical issues and maintain office efficiency.
Qualifications and Skills:
- Previous experience as an Executive Assistant or Personal Assistant
- Outstanding organizational and prioritization skills
- Excellent verbal and written communication abilities
- Proficiency in Office 365 and other relevant software
- Proactive attitude and ability to thrive in a dynamic, fast-paced environment
- Strong team player with a proactive approach to problem-solving
