As we continue to grow, we're on the lookout for dynamic and enthusiastic individuals to join our team and contribute to our legacy of excellence. We are looking for a passionate and proactive Personal Assistant/ Team Coordinator to support our CEO and executive team at our Ballarat head office.
What will you need to do?
CEO and board Support:
- Efficiently manage the CEO's diary and travel arrangements.
- Prepare / collate monthly Board Reporting Packs, Quarterly Board packs and sub committee reporting
- Prepare documentation for respective sub committees as required
- Support leadership team with the preparation of strategic documents and plans
- Coordinating meeting locations, invitations and catering
- Prepare meeting agendas taking minutes
- Book and coordinate board travel and accommodation
- Proactive management of family diaries for Haymes team
- Support the follow up and completion of outstanding actions from board meetings
- Administration support to the Haymes Family
- Support key members of the executive team with Diary management and admin support
- Supporting the maintenance and review of governance documentation
- Proactive management of incoming outgoing communication between Haymes family and internal team and external customers/stakeholders
- Storage and maintenance of Corporate documents
- Oversee the coordination of timing & delivery of business Christmas functions
- Support delivery of Business conferences
- Coordination and support of weekend events and stakeholder meetings, as necessary.
- Board and CEO Support experience
- Proven experience in providing comprehensive support to board members and executives
- A high level of initiative and an ability to proactively identify opportunities for improvement
- Demonstrated experience in effectively managing day-to-day office-related activities of the senior executive
- Exceptional interpersonal and communication skills to professionally engage with internal and external stakeholders
- Excellent organizational and time management skills with excellent attention to detail.
- Ability to work collaboratively as part of a team and independently with minimal supervision.
