What you’ll deliver with us

As the Executive Assistantyou will support the Chief Technology Officer and GM Technology - Corporate. This role provides high level administrative and business support to these leaders in the organisation. You will provide a wide range of office administration and support services. This is a 20-month maternity leave contract based in Sydney that goes beyond just diary support.

You will manage calendars, follow up with "Heads Of" for action, ensure your leader has correct papers for meetings, prepare them for upcoming engagements and ensure they are meeting deadlines.   Working closely with General Managers and Leadership team to drive actions and initiatives that support the business in managing its people/capability, operational and financial resources.  You'll also review all incoming correspondence and identify the appropriate corresponding Manager. 

You’ll also   

  • Provide a high level of business support to the GM - Technology and the CTO
  • Monitor and manage central email addresses, distribution lists, organisation data and travel arrangements. 
  • Manage central inboxes for teams which includes but is not limited to: processing invoicing and purchase orders, all other adhoc queries.
  • Undertake research, collate and analyse data and prepare reports and presentations on behalf of the General Manager and CTO. 
  • Prepare confidential materials, distribute team communication, memos, attend meetings, and prepare minutes for various forums/meetings.
  • Undertake reconciliation of BCard expenses, invoice payments and maintenance of stationary supplies and office equipment.

About you  

You have experience working in a demanding environment and you have a high attention to detail. The EA in this team is expected to have strong interpersonal and verbal communication skills with the ability to establish working relationships with people from various levels of the organisation. Being able to utilise your relationships to influence beyond your span of control will be key in being successful in this position. Ultimately we are seeking an individual who is highly organised and can manage conflicting priorities in a demanding setting.

You’ll also need   

  • Demonstrated executive support experience in professionally managing administration functions in a complex environment.
  • Experience working as an Executive Assistant, Coordinator or in Office Support is advantageous. 
  • Strong written skills, particularly in drafting correspondence, presentations and minutes.
  • Ability to use your own judgement to make recommendations and solve problems in relation to the administration function.
  • High degree of proficiency with standard software applications e.g. MS Outlook, MS Word, MS Excel, SharePoint, MS PowerPoint, SAP.
  • Ability to plan regular work commitments and meet critical deadlines under pressure
  • Available for occasional travel
