This newly created position is perfect for an experienced EA, looking to change up their role and responsibilities. Whilst the title is EA, it covers much more than administrative support and includes a broad range of responsibilities across the Ian Harrington Group including direct support of the CEO, Board of Trustees, Board of Directors and at times the Executive Management Team.
The role will play a crucial role in supporting the Executive Office and Boards including:
Executive Support:
- Provide comprehensive administrative support to the CEO, Board of Trustees Chair, Board of Directors Chair and Executive Management team.
- Prepare, collate various Executive reports and Board papers, ensuring all information is gathered and managed to timeframes
- Co-ordinate meeting dates and venues, distribute agendas and meeting papers
- Precise note taking and minute recording for board meetings and management meetings
- Follow up of action items
- Drafting and proof reading of internal and external corporate documents, communications and presentations
- Maintain professional and strict confidentiality with all materials and exercise discretion when interfacing with other employees
Communication:
- Serve as the point of contact between CEO, Chairs, Executives and internal/external stakeholders
- Liaise with internal and external stakeholders including business contacts as well as Government/Local council contacts
- Manage business schedule of the CEO, including proactive diary management, arranging and scheduling appointments, agendas, calls, travel itineraries and arrangements as required
- Manage calendars, schedule appointments, meetings and co-ordinate office events and activities
We are looking for someone who demonstrates, through their behaviour, an alignment with our company values and who has the following qualification, skills and experience:
- Tertiary qualifications and/or minimum 5 years' experience in a similar role (preferably in the civil construction, utilities, or a related industry)
- Proficient in using the Microsoft Suite of applications and capable of learning and effectively using various software packages
- An exceptional level of professionalism and interpersonal skills with the ability to establish and maintain strong working relationships and liaise in an informative and positive manner
- Ability to be highly organised, exercise initiative, discretion, use sound judgement and the ability to work under pressure
- Ability to respond to multiple issues and coordinate and organise activities at the same time
- Excellent verbal and listening skills and meticulous written communication skills.
- Discretion and ability to handle sensitive information confidentiality.
