A member of the Chief Digital & Information Officer (CDIO Team) and reporting to our newly appoint CDIO, this role contributes to our purpose by ensuring the CDIO is supported to be successful and can deliver on our strategy.
This role is based in our Melbourne CBD office.
Responsible for the effective and efficient operation of the CDIO office and working as part of the broader EA team in corporate as needed.
Responsibilities include:
- Executive Support to CDIO
- Executive diary and meeting management for CDIO
- Domestic and international travel and VISA management for CDIO and direct reports
- Ensuring expense reports of CDIO and Executive direct reports are submitted by the monthly deadline.
- Budget management
- Liaise with Board administrator to ensure that the CDIO is aware of and meets all Board requirements.
- Administrative support: IT Support, records management, document formatting, (Board and ELT papers)
- Ad hoc team management (e.g. annual conferences, on-boarding new starters)
- Multi-region communication and coordination
- Running the CDIO office efficiently and effectively
Qualifications
This is a key role with the CDIO and requires a background in supporting executive level professionals in office efficiency and productivity.
To be successful you will need:
- Expertise in Microsoft Office suite (PowerPoint, Word, Excel, Outlook) and complimentary systems (SharePoint, O365)
- Effective communicator that develops networks to drive own performance
- Experience delivering support and advisory to corporate functions, including C-Suite stakeholders, within a multi-national organisation
- Strong organisational and administrative skills, time management and multitasking
- Ability to deliver on a range of tasks for various stakeholders with tight deadlines
- Project management skills
- Experience in dealing with Board papers and board governance
