About Us

The Seminary of the Good Shepherd (Seminary) is the place of formation for priests in the Catholic Archdiocese of Sydney and other dioceses within NSW. Located in the inner-west suburb of Homebush, the Seminary provides an environment that fosters the development of human character in the spiritual life, pastoral skills and academic training to enable priests to be ready to carry out their ministry in the Church.

We are seeking a dynamic Executive Assistant with exceptional organisation and planning skills to assist the Rector of the Seminary.

About the Position 

The role of Executive Assistant is a pivotal role in the smooth running of the Seminary.  Reporting to the Rector and Vice-Rector, your key responsibility is to assist them by providing administrative and executive level support, and ensuring that their time is used in the most efficient way so that he can continue his work as leader of the Seminary.

As the first point of contact on all matters, you will manage all emails, coordinate correspondence and support the Rector to ensure the day-to-day operational matters are managed in the most effective way. You will be a key point of contact for key stakeholders both in Archdiocese of Sydney and other dioceses within NSW. You will also take on small project work and assist the Rector manage key matters, so the ability to be discrete and to handle matters with diplomacy and sound judgement is key to this role.

Meetings are an important aspect of the Rector’s role, so you will record minutes of meetings and follow up matters arising and action items following those meetings.  You will assist with the keeping of records and ensuring all documents and files are maintained and kept confidential.

You will be required to support the Vice-Rector to manage Seminary staff and operational matters on a daily basis to ensure the efficient running of the kitchen and catering capabilities, cleaning and maintenance operations, and the administration of auxiliary staff.

A strong builder and maintainer of relationships, you will liaise with a wide variety of internal and external stakeholders who are involved in the life and mission of the Seminary.

This position is a permanent part-time role working 22.5 hours per week, with flexibility regarding days to be worked. Located at Homebush with ample parking available and close to public transport.

About You 

This role will suit someone who has initiative and great communication and interpersonal skills.  You will have the ability to act with discretion, judgement and diplomacy, and have strong organisational and time management skills.

Key Requirements for the role include:

  • An appreciation of and commitment to supporting the mission and purpose of the Seminary of the Good Shepherd and the Catholic Church
  • Minimum of three years’ experience in a similar role
  • Tertiary qualifications in an area that is relevant to this role
  • Ability to accurately compile and record minutes of meetings
  • Ability to problem solve and meet work deadlines with limited supervision
  • Well-developed interpersonal and communication skills, including superior written and verbal skills
  • Working knowledge of Microsoft Office suite, i.e., Word, Excel, PowerPoint, Publisher, and Outlook
  • Ability to act with discretion and to maintain complete confidentiality
  • Possession of a valid driver’s license and own motor vehicle
