As the Executive Assistant, you will provide high level administrative support to the EGM, Mining Growth and Transformation and the teams involved with the Magnetite Expansion projects.
As an experienced professional in your field, you will build strong internal and external working relationships. You will be highly organised and proactive, and you will manage your time and that of others in an effective manner.
Responsibilities will include:
- Scheduling and management of meetings, appointments and any required travel arrangements
- Coordinate communication from the EGM with the GFG Media team
- Develop first draft presentations and simple reports drawing on information and content from the team
- Maintaining information data bases to ensure they are current and accurate
- Creating, implementing and maintaining procedures and administrative systems
- Proactively working in a manner that takes initiative to problem solve
- Coordinate with company executives, business partners and site-based administrators to ensure site visits run smoothly
- Ensure compliance with relevant legal and regulatory requirements in line with the business policies and procedure.
- Foster a model of ‘Safer, healthier and happier” approach to productive work and holders accountable
- Work in partnership with the EA and PA’s for the Adelaide office, CEO EA for Dubai office and EA’s and PA’s within the Corporate head office other sites
- Manage the general office environment, ensuring facilities are in a suitable condition
We are looking for an individual that thrives working in a fast-paced and challenging environment, displays high professionalism, maintains exceptional standards in their work and can think on their feet.
You will have:
- Higher education qualifications in Business Administration or equivalent experience
- Sound knowledge of the commercial drivers of business as well as administration, operations processes and best practices in your field
- Demonstrated ability on sourcing information to compile draft reports and presentations
- Excellent attention to detail, time management and ability to organise and prioritise workloads
- Experience scheduling travel arrangements for management
- Strong interpersonal skills and ability to communicate with a diverse range of stakeholders and build and maintain effective working relationships
- Excellent verbal and written communication skills
Technical capabilities:
- High competency with MS Suite including Word, Excel, PowerPoint and Excel
- SAP use and knowledge desirable
