Primary Location
Service Stream’s Utilities division is currently seeking an Executive Assistant to join this growing company. The role involves responsibility for providing administrative support to key Utilities senior leaders, including managing their schedules and facilitating communication.
Nature of position: Max term 12 months, full time (possibility of permanent role)
Location: Kingsgate Building, Fortitude Valley, Queensland
Reporting Line: General Manager
Key Responsibilities
- Manage the calendar of three (3) General Managers, including scheduling meetings, appointments and travel.
- Serve as the primary point of contact for internal and external stakeholders, including clients, partners and vendors.
- Manage internal communications on behalf of General Managers.
- Coordinate and prepare materials for meetings and end-of-month reporting, including agendas, presentations and reports.
- Coordinate and attend management meetings; take minutes and monitor follow-up.
- Coordinate travel and accommodation arrangements.
- Provide soft support to General Managers.
- Coordinate events and workshops.
- Handle file organisation and maintenance.
- Assist in onboarding new starters, including coordinating with IT, ordering PPE, etc.
- Reconcile expenses.
- Provide support with finance administration, including raising purchase orders, invoicing and new vendor set-up.
- Act as a confident liaison with staff throughout Service Stream and with external organisations.
About You
- Experience in a support role for senior management.
- Strong written and oral communication skills.
- Excellent working knowledge of Outlook and Microsoft Office.
- Work efficiently and effectively within the management team or without direction.
- Display superior attention to detail.
- Be highly organised, adaptive and accountable.
- Ability to work under pressure and meet deadlines with minimal supervision.
- High School Certificate or equivalent.
- Associate Diploma in Administration or equivalent is desirable but not essential
