Purpose of the Role
This role will report to the CEO. The role will offer executive assistance to the CEO and will play a key role in ensuring the day-to-day administration of Women’s Liberation Halfway House and smooth running of the CEO’s office including supporting the operations of the Board and Team.

RESPONSIBILITIES AND ACCOUNTABILITIES
• Provide secretarial support and administrative assistance to the Chief Executive Officer
• High level administrative support to WLHH Board of Directors, CEO and other board subcommittees.
• Organise travel, accommodation, itinerary and other event related arrangements.
• Coordinate submissions and document control for tenders.
• Managing WLHH Intranet/Policies and Procedure updates
• Maintain the organisation’s off-site record storage facility (Recall Archiving).
• Manage the CEO corporate credit card.
• Carry out special projects as allocated by Chief Executive Officer.
• Act as the point of contact between the Executive team and internal or external stakeholders including senior government officials, member and
partner organisations and members of the public.
• Organise meetings, agendas and minutes for the CEO and managers
• Preparation and distribution of Board meeting agendas and minutes.
• Coordinate the Annual General Meeting held in November each year.
• Support with the induction of new Board members.
Other
• Participation in on- going training and professional development
• Participation in formal supervision as directed
• Participation in bi-annual formal performance appraisals and any other appraisal systems as directed by the CEO
• Act in a professional manner on any performance feedback provided
• Orientation towards continuous improvement, managing change and being flexible to change
• Attendance of meetings as directed including the Annual General Meeting
• Other duties as directed
• Availability for monthly evening meeting
KEY SELECTION CRITERIA
• Significant experience providing administration support to Executive level, preferably in the not-for-profit sector
• Initiative, timeliness and absolute commitment to customer service, responsiveness and pride in helping and professionally assisting, internal and external clients.
• Excellent interpersonal skills, including the ability to communicate effectively with people, while simultaneously building credibility and rapport.
• Defuses and resolves conflict in a range of situations, with tact and diplomacy, as required.
• Learns new skills and ideas quickly and assimilates complex information, applying knowledge gained to a new setting.
• Tertiary qualifications and / or relevant administrative / business studies.
• High level computer literacy, including competence in advanced functions with the Microsoft Office Suite of programs, including Outlook, Access, Excel and Word, and databases and client information systems (Penelope); and willingness to continue to develop skills and undertake further training. Excellent organisational and time management skills, demonstrated by an ability to perform multiple tasks at a high standard.

REMUNERATION
• Remuneration is negotiable depending on qualifications and experience
• Salary and conditions are as per the Social, Community, Home Care and Disability Services Industry Award 2010 Level 4.1 to Level 4.3 ( Community Development level
• Access to a salary-packaging program within FBT limits
TERMS AND CONDITIONS

• Current National Police Record Check (renewed every three years)

• Current Working with Children Check Assessment notice and card for valid Employment
• Completion of COVID vaccinations in line with government directives
• A Current Victorian Drivers License
• Eligibility to work in Australia
