About The Role
We’re on the lookout for a dynamic and highly organised person to join our team as an Executive Assistant and Office Manager. Reporting to the Managing Director, you’ll act as an assistant to the Managing Director, provide administrative support to the senior leadership team, and own office management operations and procedures in order to ensure organisational effectiveness and efficiency at Corpay’s Melbourne office. Additionally, you’ll assist in organising corporate functions both in the Marketing area and general office.
Responsibilities will include (but not limited to) the following activities:
- Monitors visitor access and issues passes when required.
- Receives, sorts, and routes mail, and packages to various departments and outside organisations.
- Organizes maintenance staff such as electricians, plumbers etc., when there are maintenance issues within the office.
- Orders, receives, and maintains office supplies.
- Performs other clerical duties as needed, such as booking flights, managing calendars, filing, photocopying, etc., when required by the Managing Director and the Director Strategic Sales.
- Ensure meeting rooms and kitchens are always clean along with the general office area.
- Organise staff functions and offsite conferences, management meetings, Christmas functions, etc.
About You
As the Executive Assistant and Office Manager, you will play a crucial role in supporting our business by taking ownership of a range of administration duties. Previous work experience in an office support role is a must. You'll be a part of the management team, reporting directly to the Managing Director. The ideal person for this role has an excellent communication skillset and a willingness to take on tasks/opportunities as they arise. Whilst the role is process driven, the ability to innovate and operate with a continual improvement mindset will be highly regarded.
To be considered for this role, you must also have the following skills and experience:
- At least 5 years of experience as an Executive Assistant / secretarial person
- Good working knowledge of Microsoft products in particular Outlook, WORD and Excel
- Able to work autonomously and adjust to changing priorities; willing to roll sleeves up.
- Excellent written communication skills
- Strong organisation and time management skills
