The Royal Australian Navy Central Canteens Board (RANCCB), trading as The Navy’s Anchorage (TNA), has a vision to be the heart and soul of Navy life. TNA continues the rich history of supporting the Navy family through welfare and lifestyle initiatives. As a not-for-profit organisation, surplus funds raised through our national cafés and supplementary services are given back to Royal Australian Navy personnel and the broader Navy family.
About the role
At the direction of the Chief Executive Officer (CEO), this role is responsible for the provision of secretariat support to the RANCCB and its committees, as well as support to the CEO and various general administrative duties. The role may be full-time or part-time to accommodate diverse schedules and preferences, and may involve interstate travel. The primary locations for work will be at Campbell Park Offices and HMAS Harman in Canberra.
Responsibilities
- Provide Secretariat support and services to the Board of Directors, associated Committees and the CEO, including preparing Board agendas and papers under direction from the CEO, and taking minutes of meetings
- Set up and organize both internal and external meetings, including organising room bookings, refreshments/catering and technology
- Diary management including prioritising the Chief Executive Officer’s time and drawing attention to matters of priority
- Coordinate meetings with internal and external stakeholders and ensure the Chief Executive Officer has all required information for meetings
- Coordinate and book all travel arrangements, accommodation, ground transportation and organise supporting documentation for TNA staff, Board and Committee members
- Coordinate National Support Office administrative tasks as requested including managing office supply inventory and distributing hard copy mail and correspondence
- Undertaking filing and records management functions ensuring records are accurate, complete and are managed in accordance with company policy
Requirements / qualifications
- A positive attitude and willingness to embrace The Navy’s Anchorage vision, mission, purpose and values
- Ability to obtain and maintain a Baseline Security Clearance
- Previous experience working in an Executive Assistant (EA) role or similar will be highly regarded
- Ability to take accurate minutes of meetings and to write competently
- Computer proficiency in Microsoft Office (Excel, Word, PowerPoint and Outlook)
- Discretion and ability to maintain confidentiality
- Well-developed stakeholder management and relationship building skills with excellent customer service, communication and interpersonal skills
- A flexible approach with the ability to be resilient and adaptable, work well under pressure and meet tight deadlines while still maintaining attention to detail
- Team orientated, a high level of initiative and the ability to work unsupervised
- Demonstrated ability to take direction and effectively respond to feedback
- A demonstrated respect and understanding of the needs of serving ADF members, Veterans and their families will be highly regarded
