What you'll be doing:
An opportunity has become available for a highly reliable and qualified Executive Assistant to join the Nepean Executive Unit. This is on a Permanent Full Time assignment. The Executive Assistant to the Deputy General Manager in the Nepean Executive Office is responsible for providing high level executive secretarial and administrative support to the Deputy General Manager and manages the Executive Assistant Team.
This is an exciting time to join the team and no two days are the same. In this position, you will provide efficient and affective office management systems and processes to ensure timely and accurate responses, including developing systems and improve efficiencies to existing processes within the Nepean Executive unit across areas such as administrative support, purchasing, recruitment and rostering functions. This will also include coordinating all correspondence and briefings within variable deadlines, using initiative and judgement to ensure efficient and appropriate handling of documents. This may include Prepare and/or research information for various documentation including presentation material, conference papers, memorandums, letters, internal briefings, reports, et.al. as well as prepare agendas and other papers including, draft terms of reference for meetings and committees chaired by the Deputy General Manager. Record minutes and prepare agendas for meetings within the Directorate and ensure follow- up action is taken on matters determined. Maintain the Deputy General Managers diary including management and coordination of to ensure efficient and appropriate use of time, monitor and screen telephone enquiries.

New applicants must have completed the vaccination course prior to commencement with NSW Health, or provide an approved medical contraindication certificate (IM011 immunisation medical exemption form) certifying the worker cannot have any approved COVID-19 vaccines available in NSW.
Acceptable proof of vaccination is the Australian Immunisation Register (AIR) Immunisation History Statement or AIR COVID-19 Digital Certificate. Booster doses are highly recommended for all health care workers who have completed the primary course of COVID-19 vaccinations.
Employment of a temporary visa holder may only occur if no suitable permanent resident or citizen of Australia has been identified and must not exceed the duration or conditions associated with the current visa.
Selection Criteria to be Addressed: * Demonstrated experience and proficiency in providing high level executive assistance and support to a senior executive including a proven capacity to operate effectively in a complex environment demanding confidentiality, flexibility and discernment

  • Demonstrated ability to provide leadership to an administrative team in an Executive unit
  • Exceptional interpersonal skills including sound oral and written communication
  • Proven high level of Organisational skills including the ability problem solve, prioritise workload and meet deadlines supported by a demonstrated capacity to exercise initiative and judgment, including the demonstrated ability to prioritise multiple tasks
  • Advanced proficiency in preparing various documentation (memorandums, agendas, minutes, letters, internal briefings, reports, presentations etc) using Microsoft office suite of applications
  • Experience using an electronic records management system such as TRIM
  • Working knowledge of systems that support business processes including purchasing, recruitment and rostering functions
  • Highly developed negotiation and problem solving skills
