We are looking for an experienced Executive Assistant to join a business advisory firm located in the Melbourne CBD.
The successful candidate will play a crucial role in ensuring the smooth operation of the Managing Partner's office by managing various administrative tasks and acting as the primary liaison between the Partner and other teams within the organisation.
Your duties will include but not limited to:
- Calendar Management: Efficiently manage the Managing Partner's schedule, including scheduling appointments, organising meetings, and ensuring all deadlines are met.
- Email Management: Monitor and respond to emails on behalf of the Partner, ensuring timely and professional communication with clients and stakeholders.
- Travel Arrangements: Arrange travel accommodations, including flights, hotels, and transportation, for the Partner as required.
- Client Communication: Act as a point of contact for clients on behalf of the Partner, handling enquiries and providing assistance as needed.
- Administrative Support: Perform various administrative tasks, including drafting documents, maintaining records, and handling correspondence.
- Contract Management: Amend and create contracts, as well as other client documents, ensuring accuracy and compliance with company standards.
- Task Follow-Up: Track and follow up on key outstanding tasks and commitments for the Partner to ensure timely completion.
Qualifications:.
- Proven experience as an Executive Assistant or similar role, preferably supporting senior executives.
- Excellent organisational and time-management skills, with the ability to prioritise tasks effectively.
- Strong communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Discretion and confidentiality when handling sensitive information.
- Ability to work independently with minimal supervision and as part of a team.
