The Role
This role reports to the Technology Director and Chief Financial Officer (CFO) of MUFG Pension & Market Services - Retirement Solutions business providing high quality executive support and administrative assistance.
- Fixed Term contract - parental leave absence cover for 10 months
- Location - Collins Square office in Melbourne CBD.
- Role commencing - July 2024
Key Accountabilities and main responsibilities
- Extensive diary management for the Technology Director and Chief Financial Officer (CFO)
- Maintain the calendar, including scheduling meetings, appointments, speaking engagements. Exercise discretion in committing time and evaluating needs
- Client liaison - using proactivity and initiative to take action on any requirements as necessary. Liaison with external clients, suppliers, consultants and stakeholders to support key activities
- Assist the leaders in the development of presentations and white papers for internal and external audiences
- Determine priority of matters of attention for the leaders; redirect matters to staff to handle, or handle matters personally, as appropriate
- Co-ordinate dissemination of information to internal parties as required
- Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials
- Plan, coordinate and manage domestic travel, and complex international travel
- Proof reading of documents for both the Senior leaders
- Prepare payment requests including AMEX and staff reimbursements. Manage the approval process; Prepare, reconcile, and submit expense reports
- Effective liaison with other Executive Assistants (EA’s) of the Executive team
- Collate monthly reports for the leaders as required
- Internal event coordination
- Ad hoc duties, projects and general administration as requested by the leaders
- Personal errands for the leaders as required
- Maintain confidential and sensitive information
Experience & Personal Attributes
- 3-5 years of prior experience in supporting a C-suite or senior executive within a large organisation
- Proficient in typing and with sound skills in Microsoft Word, Excel, PowerPoint, email systems and databases
- Strong understanding of confidentiality of information
- Understanding of the business/ industry or the ability to develop.
- Advanced organisation, time management, and prioritisation skills
- High level interpersonal and customer service skills
- Demonstrates initiative and is proactive with flexible approach
- Ability to work under pressure in fast paced environment and multitask
- Ability to work effectively with people at all levels of the organisation
- Excellent written and verbal communication skills
