Full time position: $75,000 - $85,000/year + superannuation

About the Role
As the Executive Assistant / Office Manager, you will play a pivotal role in supporting the Melbourne-based members of the Executive Leadership team. Your responsibilities will encompass both executive support functions and office management duties, ensuring smooth operations and facilitating the growth of our team.
Key Responsibilities
Executive Assistance
- Provide high-level administrative support to Melbourne-based members of the Executive Leadership team.
- Assist in the preparation of presentations and reports, including All Hands presentations, Board Reports, and Country Reviews.
- Manage corporate calendars, schedule appointments, and coordinate meetings.
- Handle travel bookings, accommodations, and itineraries for executive team members.
- Act as a liaison between executives and internal/external stakeholders, ensuring effective communication and coordination.
Office Management
- Oversee the day-to-day operations of the Melbourne office, ensuring a productive and welcoming work environment.
- Manage office supplies, equipment, and facilities, including vendor relationships and contracts.
- Coordinate office events, meetings, and team-building activities.
- Support the onboarding of new team members and facilitate office orientations.
- Implement and maintain office policies and procedures to optimize efficiency and productivity.
- Handle administrative tasks related to office finances, budgeting, and expense management.
Interim HR Support
- Assume interim HR Admin responsibilities while the key HR personnel are on leave (August - December 2024)
- Assist in HR-related administrative tasks, such as maintaining employee records, coordinating recruitment efforts, and facilitating employee training and development programs
- Provide support in HR compliance matters and assist with employee relations issues as needed
- Liaising with the Finance team in relation to any payroll related matters
Qualifications and Skills
- Proven experience as an Executive Assistant or Office Manager, preferably in a fast-paced, dynamic environment
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively
- Strong attention to detail and problem-solving abilities
- Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels
- Proficiency in Google Suite and other relevant software applications
- Experience in providing HR support/administration is a plus
- Bachelor's degree or equivalent experience preferred
