The responsibilities of the position include:
- Provide a high level of executive support to the Deputy Director-General such as; providing high level administrative support, taking meeting minutes when required and other administrative tasks as directed by the Deputy Director-General.
- maintain the Deputy Director-General's electronic diary, including the organisation of meetings and relevant meeting papers, accommodation and travel arrangements; and screen and interpret telephone calls redirecting enquiries to the relevant unit where appropriate.
- coordinate, examine, disseminate, monitor and track incoming and outgoing communication and correspondence.
- liaise with the Minister's Office, Office of the Director-General, senior management, and with officers at all levels within the Department, and other public and private sector organisations in relation to the Office of the Deputy Director- General's activities.
- assist the Deputy Director-General and Principal Advisor with project work as required and provide high quality advice to staff at all levels on procedures and administrative standards of the Office and Department.
- develop, implement and maintain a records management system involving systems, registers and processes as required within the Office of the Deputy Director-General. This will include managing both electronic filing systems as well as the ongoing maintenance of physical record keeping.
- Assist in the development and processing of briefing notes, executive correspondence and ministerial requests using the Mincor system.
- Provide project and administrative support to various projects being conducted by the Office of the Deputy Director-General. This may involve collating, researching, and preparing information on a range of organisational issues.
- Coordinate the reporting of sensitive and confidential information.
- Establish and maintain productive working relationships within the business, across the department and across Queensland Government.
- Demonstrate professionalism and be an enthusiastic contributor to the office the Deputy Director-General, Public Works culture.
