About the role
The Facilities Administrator is responsible for the operational management and daily coordination of the McCall Gardens site activity to ensure the compliant and satisfactory delivery of services including but not limited to mail processing, coordination of trades, support function to the General Manager – Assets and Facilities and administering and managing work orders across the portfolio, management, auditing and other administrative function as required of the role.
McCall Gardens Facilities Administrator Work Performed
- Undertake administrative tasks, including data entry to ensure all work is processed on time.
- Maintain and keep up to date maintenance requests, ensuring these are actioned within a reasonable timeframe.
- Manage new maintenance submissions and follow these through until completion.
- Communicate with internal and external stakeholders to manage scheduling of maintenance repairs.
- Manage all incoming correspondence for the facilities department.
- Support the vehicle fleet audits and enquiries from internal and external customers.
- Participate in administrative work activities, including problem solving, system maintenance and audits of all assets to ensure positive customer service is provided and upheld.
- Liaise with, engage, and support the administration tasks associated for external contractors (e.g., electrician, plumber, AC service) in line with McCall Gardens Contractor Management Framework including ensuring maintenance contractors complete an induction.
- Assist with projects when needed in support of the General Manager of Facilities and Assets.
- Contribute to the development of consistent processes, systems, practices, and support to the business.
- Proactively suggest Continuous Improvement with current trends in processes, procedures, or systems.
- Work collaboratively with the Grounds and Maintenance officer to ensure works/jobs are completed.
- Provide high level customer service, demonstrating an enthusiastic and supportive service-based mentality in all interactions with internal and external customers whilst demonstrating flexibility and working as a team player.
Knowledge Skills and Experience
- 2-3 years’ experience in similar domain.
- Demonstrates willingness to actively participate in collaborative practices.
- Previous experience in phone and office-based administration.
- Demonstrated knowledge of the use of common PC applications software such as Microsoft Word and Excel.
- Proven ability to recognize, analyse and resolve problems.
- Excellent time management capability required.
- Desirable but not essential (CMMS software) experience.
- Project / administration experience advantageous but not essential.
- Demonstrated ability to work accurately under pressure and meet deadlines.
- Oral and written communication skills for engaging and communicating with persons with a disability, staff, families and for writing reports.
- Understanding of and commitment to meet the McCall Gardens requirements in terms of employment equity and diversity, WH&S, ethical practice and the Code of Conduct and Ethics.
Essential Qualifications and or Experience
- Current driver’s license
- NDIS Workers Screening Check
