Purpose of the role

To ensure an awesome employee experience by supporting all areas of the employee lifecycle and driving a high performing and engaged workplace. 

To act as a central point of contact (reception) for CBN staff, the broking network and office visitors, ensuring people are connected to the service they need.

The incumbent will have access to highly sensitive information and will need to apply high degrees of discretion and integrity at all times.

Please note this role is maternity leave cover for 12 months. There may be potential to go permanent at the end.

Responsibilities

HR Enquiries / Request Management

  • First point of contact for all HR related queries via management of the HR Inbox
  • Escalation of enquires / requests to HR BP when requires

Recruitment

  • Support position description development (in conjunction with HR BP)
  • Processing appropriate forms within HARRIS
  • Development and posting of advertisements (in conjunction with HR BP)
  • Assisting with scheduling candidate interviews as required
  • Issuing employment agreements via Onboarding Platform

Onboarding

  • Creation and delivery of new starter packs
  • Creation of Onboarding Plan (in conjunction with HR BP)
  • Schedule Induction meetings (in conjunction with recruiting manager)
  • Monitor delivery of equipment (in conjunction with IT)
  • Meet on Day 1 for HR Introduction (virtual or on Melbourne Office)

Probation

  • Manage probation for all new employees
  • Assign probation forms within HARRIS
  • Monitor probation documentation and escalate to HR BP if necessary
  • Reporting and Information Management
  • Maintain all employee data within HARRIS
  • Assist with HIVE Reporting on a fortnightly basis
  • Assist with any monthly and any ad hoc reporting requirements

Offboarding

  • Providing acknowledgment letter
  • Informing Payroll
  • Informing IT
  • Scheduling Exit Interviews for HR BP
  • Monitor receipt of equipment (in conjunction with IT)

Wellness Activities

  • Manage Health and Wellness Allowance
  • Manage Power2Motivate account
  • Assist with organising any wellness initiatives in conjunction with HR BP

Reception

  • Provides a (physical and virtual) reception role to greet and welcome visitors to the Perth/Melbourne offices.
  • Operates as a central phone call reception, connecting callers to internal employees and network brokerages as required to enable a high level of responsiveness and customer experience
  • Aid the Executive Assistant in ensuring the office facilities and suppliers are managed in line with company processes and agreed standards
  • Actively seeks to understand the movements and workings of the company and its employees so that conversations with stakeholders can be held from a position of knowledge, increasing customer experience.
  • Act with a high degree of empathy and general customer service with all interactions.

Other duties

  • Expense management for People and Customer Executive Manager
  • Payments and invoicing for People and Customer Team
  • Contribute to the development and review of HR Policies and Procedures.
  • Model and demonstrate positive working relationships and communication within the People and Customer team and across CBN.
  • Other duties consistent with the position where required and/or requested by the HR BP or People and Customer Executive Manager

Required Skills & Abilities

Essential

• Qualification in HR, business, legal or other relevant degrees – highly regarded but not required

• Proven work experience as an EA, Receptionist, Front Office Representative, or similar role

• Knowledge of General Insurance Broking business highly regarded

Desirable

• Ability to exercise confidentiality and maintain discretion with sensitive information

• Sound knowledge of HR and/or internal compliance processes and workflows

• Exceptional written and verbal communication skills
