Our Sun Pharma Port Fairy Site is seeking a suitably skilled and experienced person to join our Maintenance Team in the role of Maintenance Administrator
Competencies
- Compliance to all Sun Pharma EHS policies and procedures.
- Comply with Good Manufacturing Practice (GMP), Corporate QMS and Site Quality Systems to ensure that the site manufactures products that meet all quality and compliance requirements and maintains its Licence to Manufacture Therapeutic Goods.
Operational Focus
- Responsible for obtaining competitive pricing on maintenance and capital project materials and services
- Responsible to coordinate with up with procurement department for timely placement of purchase orders.
- Responsible for receipting goods and services and validating invoices including following through with finance department to ensure timely payment.
- Responsible for management of inspection, warehousing and disposal of materials required for maintenance activities and capital projects.
- Responsible for production of monthly financial reports for the maintenance department.
- Responsible for coordinating filing of critical documentation including statutory inspections as well as EHS and Quality critical records.
Systems.
- Ensure all technical information on all items of equipment, including site asset register and stores catalogue and CMMS data is kept up to date and in a compliant state.
- Responsible for assisting maintenance supervisors to manage stores and work packs on the maintenance management system.
- Responsible for reviewing Work Requests

Continuous Improvemnet
- Assist in the continuous improvement of the MEX and SAP systems for the control of maintenance and project works and material management.
- Assist in the continuous improvement of standardized systems for the reporting and control of maintenance and project costs
Customer
- Manage Internal and external Customer relationships in a professional manner.
- Coordinate interactions with external service contractors and suppliers to ensure security of supply.
People
- Coordinate with the Mechanical and Electrical Maintenance Supervisors to ensure that the preventative maintenance services and inspections are scheduled and performed when due.
- Engage with Vendors and Service Providers to ensure a competitive bidding environment to obtain best value for money.
- Engage with procurement and finance departments to ensure all materials and services are coordinated and delivered in a timely and efficient manner.
- Engage with procurement and finance departments to ensure invoices are receipted and vendors and contractors are paid in a timely manner.
- Support the Maintenance Manager to coordinate the selection of external contractors involved in infrastructure maintenance and other maintenance activities not covered by the Mechanical and Electrical supervisor
- Engage with trades and warehouse personnel for the control of movement and storage of maintenance and project materials
Work Experience
Mandatory
- Tenure: 2 years
- Industry: Any industry with established maintenance management system
- Content: Experience working within maintenance and/or warehousing department
Preferred
- Tenure: 5 years
- Industry: Petrochemical or Pharmaceutical
- Content: Experience in supporting project planning and execution
Skills/Knowledge/Abilities
Experience with:
- MEX or similar maintenance management system
- SAP or similar cost control system
- Excel/Word or similar spreadsheet/word-processing software
Behavioural Competencies
- Organized with strong eye for detail.
- Independent worker able to take ownership of any given role.
- Comfortable communicating with trades technicians, accountants, engineers and operators.
- Comfortable communicating with trade based contractors and equipment, material suppliers
- Equally happy to work at computer or out on site.
