An exciting position has become available for a polished, highly organised and customer focused Medical Receptionist to join our team at Ascension Cosmetic Medicine in New Farm.
Ascension Cosmetic Medicine is the flagship clinic for one of Australia’s leading Cosmetic Physicians, Dr. Scott Allison. This beautiful 250m2 luxury clinic set on the river at New Farm offers the latest in modern cosmetic procedures. With a focus on natural beauty, our team are provided with a supportive environment to deliver treatments that help clients look & feel their best. We offer a range of cosmetic injectables, bio-stimulators, laser treatments, body contouring, platelet-rich plasma, skin tightening and cosmetic dermatology treatments.
As a Medical Receptionist, your role is to provide a seamless client experience, and a warm and friendly welcome. It will be important, as the face of the clinic to have superb interpersonal skills and to be articulate and confident in your knowledge of services we provide.

Daily Responsibilities:
- Manage the busy clinical team and ensuring the smooth running of all appointments
- Making, rescheduling, confirming, and cancelling appointments, optimising the appointment book accordingly to maximise the business opening hours and clinical team
- Process payments in multiple formats, issuing refunds, confident cash handling, reconciling end of day banking
- Managing the clinic emails promptly for all client enquiries, including advice on skincare, appointments, and reactions, as well as client feedback in any area
- Managing the phone lines in a polite and calm manner, being informative, and have confidence in the knowledge of treatments and products
- Host a calm, seamless client experience maintaining a friendly atmosphere
- Maintaining the 5* standards of the clinic client areas, working with the team to make sure that no area is overlooked
- Stock control management, reconciling stock, ordering stock, uploading stock on the system, and responsible for stock numbers
- Providing retail product advice, understanding and have confidence in products and ingredients
- Manage client feedback including treatment reaction, product reaction, and the overall customer journey
- End of day banking, managing cash, card, and online payments. Resolving any issues and balancing the end of day
- Opening and closing of the clinic
Our ideal candidate:
This role would ideally suit an individual who may have had a clinical/beauty, luxury hotel/retail or an aviation background who enjoys administrative tasks, loves guest liaison, is a real people person and is able to;
- Collaborate with other team members to ensure a holistic experience within the clinic
- Maintain a professional image with a high standard of grooming
- Passion to develop yourself and grow with the business
- Exceptional customer service, problem-solving and collaborative working
- Availability to work Monday - Saturday
- A Certificate III, IV or a Diploma of Beauty Therapy would be highly regarded
- Experience with Gentu Medical software and Zenoti CRM is preferred
