The Opportunity
Associate Professor Mark Ward is looking for a friendly, enthusiastic and experienced Medical Secretary to join his practice based in Glen Iris. The Medical Secretary will be an integral part of the practice and is a key contributor to its efficient operation. A/Prof Ward is a busy gastroenterologist and endoscopist who works across multiple hospitals who prides himself in providing premium care and understanding to his patients. The successful candidate will be working for a doctor who truly values the contribution made by his support staff, and values excellent communication between the rooms, patients and referring doctors.
This role has the potential to grow in breadth and responsibility over the next few years.
The Role
Provide professional, service‑oriented high‑volume Medical Secretary services to practice patients, including:
- greeting patients and assisting them accordingly
- answering telephone calls, making appointments, responding to emails and messages and drawing on knowledge of the practice’s procedures to respond to general/non-clinical inquiries
- managing theatre lists
- handling, collating and distributing mail and other correspondence
- ensuring recalls and follow ups are booked promptly
- monitoring maintenance requirements and ordering supplies
- filing, data entry
- Processing medicare and private insurance claims and
- database maintenance.
No typing is required.
We are also looking for someone who can review and build upon the efficiency and effectiveness of current policies and procedures and plan for future expansion into a larger practice.
The candidate
Education/Qualifications
1. An Associate Diploma in office administration or a similar field with subsequent relevant work experience or at least three years in a similar role in a specialist medical practice.
Knowledge and Skills
2. Experience providing professional reception/administrative support services.
3. Hard working and reliable with a desire to contribute to a practice where patients feel cared for and listened to.
4. Good organisational skills, strong work ethic and excellent attention to detail.
5. Well‑developed communication skills, including the ability to draft documentation, interact with a diversity of colleagues and patients and maintain confidentiality.
7. Ability to work as an effective member of a team as well as independently under general supervision.
8. Experience with medical practice software particularly Gentu desired, but not essential.
Other job‑related information
This role is part-time (hours and days to be negotiated) and are located at A/Prof Ward’s rooms at Glen Iris Private. Salary is above award and commensurate with experience. We are looking to have someone start as soon as possible. You must have the right to work in Australia.
