Role Description
The Geography Teachers’ Association of Victoria (GTAV) is seeking an outstanding Member Services and Accounts Manager with experience in customer service, accounts management, bookkeeping and office management.
This newly created position will report directly to the Executive Officer and will work in collaboration with the GTAV team comprising 5 other staff.
The Member Services and Accounts Manager will:
- Support GTAV Members, Staff and Management Committee in the delivery of member products and services including the professional learning and student program, annual conference, curriculum resources and publications.
- Manage the accounts function and maintain the books, ensuring the organisation fulfils its financial recording, monitoring and reporting obligations.
- Manage the online shop including processing and distribution of orders.
- Maintain HR systems, compliance, office procedures and processes to ensure the smooth running of the office.

Key Responsibilities
- Accounts payable and receivable, payroll, super, and leave entitlements including day-to-day bookkeeping (MYOB)
- Manage online shop including distribution of print and digital publications, bookseller liaison, stock and inventory control
- Banking and cash flow management
- Financial reporting to Executive Officer
- Prepare Annual Budget in conjunction with Executive Officer and monitor budget against actual
- Prepare individual project costings and budgets in collaboration with team members and project leads
- Maintain compliance including insurance and OH&S
- High level Member Services provision, including responding to member queries and updating the member database
- New member onboarding and support
- Assist in the development and implementation of membership growth strategies, including providing feedback regarding member needs
- Provide event registration support including troubleshooting online transactions
- Upsell membership, events, Services and education resources to stakeholders in the course of email/phone interaction
- Develop and manage office systems including document storage and filing
- Input into the scoping and development of a new website/CRM platform
- General office management including building maintenance, cleaning, security, office supplies
- Triage incoming email, phone, and post
- Greet occasional visitors to office
Key Selection Criteria
- Experience in accounts management including the use of cloud based bookkeeping software such as MYOB, Xero or QuickBooks to maintain records and generate reports.
- Strong computer literacy and numeracy skills including proficiency with Microsoft Office suite and the ability to use Microsoft Excel to scope, develop and monitor costings and budgets.
- Proficiency in working with advanced online platforms including customer relationship management (CRM) systems, database, online shop, and content management systems.
- Exceptional written and verbal communication skills with proven ability to deliver a high level of customer service.
- Analytical and problem solving skills including the ability to identify solutions and recommend processes, both internally and externally.
- Demonstrated ability to be flexible, proactive and plan time in support of a range of programs and tasks, and to manage multiple projects and meet tight deadlines.
- Demonstrated experience in working collaboratively as a team member and to develop effective working relationships.
Desirable Skills & Experience
- Experience in using MYOB software
- Previous experience working in a Member Services, education related or professional services environment
- Office management
- Sales and distribution including print and digital products
- Sales analysis and forecasting skills and experience
Background
The Geography Teachers’ Association of Victoria (GTAV) is an incorporated, not-for-profit, professional membership association supporting geography teachers. GTAV’s mission is to achieve excellence in Geography education in Victoria through leadership and advocacy, building teacher capacity, providing student support, and developing curriculum resources.
Our services include an extensive teacher professional development program designed to meet the needs of primary and secondary Geography educators, student programs, VCE student lecture series, and teacher consultancy and advice. We develop and publish a range of curriculum resources including a VCE Unit 1-4 textbook series, VCE Revision Compass, trial examinations, visual displays, careers brochure, concept posters, fieldwork booklets, and a quarterly member-only journal Interaction.
GTAV also partners with external organisations including tertiary institutions, local government agencies, not-for-profit and private organisations, and the Department of Education to develop curriculum resources and professional learning initiatives aimed at improving teaching and learning outcomes, raising the profile of Geography as a subject, and promoting career pathways.
