Role Overview: As an Office Administrator, you will play a pivotal role in ensuring the smooth operation of our office and acting as the primary liaison between clients and the kitchen. The ideal candidate should thrive in a fast-paced environment, demonstrate attention to detail, and maintain a high level of professionalism under pressure.
Key Duties & Responsibilities:
- Answering telephone calls and providing information on our products and services.
- Serving as the first point of contact for clients, suppliers, and visitors.
- Managing general correspondence with clients and suppliers.
- Sorting and responding to emails promptly.
- Preparing quotes and orders for client functions and events.
- Accurately processing customer orders through our online system, ensuring correctness and confirmation with clients.
- Assisting in organizing and preparing for functions, including running sheets, site access, delivery logistics, and staff coordination.
- Collaborating with management to achieve goals and uphold the company's reputation.
- Collaborating with the team on promotional and marketing material.
- Preparing and issuing invoices.
Knowledge, Skills & Abilities:
- Minimum of 5 years' experience in customer support and administration.
- Ability to thrive under pressure, managing high call volumes and client requests.
- Excellent problem-solving skills.
- Proficiency in Word & Excel with strong computer skills.
- Strong writing, analytical, and problem-solving skills.
- Effective communication skills, both oral and written.
- Proficient in operating standard office equipment.
- Knowledge of organizational principles, planning, records management, and general administration.
- High level of attention to detail.
