OFFICE MANAGER – FULL TIME
(12-Months, with a possibility of extension)
The Dieri Aboriginal Corporation RNTBC (TDAC) is actively seeking an experienced Office Manager with a proven track record in organisational efficiency to facilitate the achievement of the Corporation's objectives. This pivotal role will play a crucial part in enhancing the CEO's office functionality, necessitating seamless interaction with the TDAC Board, Members, and External Parties. The successful candidate is expected to demonstrate initiative and resourcefulness while undertaking a diverse range of high-level functions associated with strategic leadership.
SCOPE:
Reporting to the Chief Executive Officer (or their delegate), the Office Manager role encompasses the provision of high-level operational services to support the CEO.
THE OFFICE MANAGER WILL BE RESPONSIBLE FOR:
- Designing and implementing office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
- Completes operational requirements by scheduling and assigning employees; following up on work results.
- Oversees office facilities, ensuring cleanliness, safety, and functionality. Including coordinating maintenance and repairs as needed.
- Working with HR consultant and CEO regarding HR matters.
- Induction of new employees.
- Managing the Administration and reception staff.
- Office Administration and rostering.
- Supporting Staff to achieve accreditation in Certificate III in Business Office Administration.
- Managing policy payment processes, and providing detailed monthly reports regarding progress and highlighting any issues or concerns, to the CEO and TDAC Board of Directors.
- Ensuring Administration and Reception KPI’s are being met, this includes;
- Number of policy payments that have been processed
- The average wait times in processesing applications
- Highlighting the date of the oldest outstanding policy payments
- How many outstanding invoices are pending for policy payments
- Organising training for TDAC Staff in line with compliance and personal and professional development.
- Ensure compliance with safety regulations and guidelines eg; WHS compliance.
- Management of TDAC assests including vehicle registration and maintenance.
- Keeping CEO informed by reviewing and analysing special reports; summarising information; identifying trends.
- Working with IT providers on any IT issues and process improvements.
- Working with the Finance Manager and CEO regarding Internal Audit processes which includes policy payments and compliance with ORIC and operational standards/regulations.
- Any other tasks as delegated by the CEO.
EXPERIENCE, SKILLS AND KNOWLEDGE:
- Proven experience (5+ years) in office management, administration, or a related role.
- Strong leadership and management skills.
- Excellent organisational and multitasking abilities.
- Exceptional communication (verbal and written), and interpersonal skills.
- Proficiency in Office Software and Systems (Microsoft Office, Scheduling software, etc.).
- Customer-focused with a commitment to providing excellent customer service.
- Knowledge of WHS regulations and HR practices, is a plus.
DESIRABLE:
- Experience working with Aboriginal people and Communities (preferred)
- Must have a current Drivers Licence
- National Police Clearance Check is required
