Job Summary : 

As the Office Manager for Melbourne, you will lead, supervise, and develop the team responsible for ensuring seamless execution of customer service and product production processes. You will play a hands-on role with direct operations responsibilities, act as the primary escalation point for customer service issues, and have the flexibility to fill in gaps within the team as needed. Your focus will be on enhancing operational efficiency, ensuring quality output, and fostering a positive work environment.
 

Management Responsibilities:

Staff Scheduling - Allocate and manage staff work schedules to ensure optimal staffing levels across all shifts and operations. This includes leave scheduling to minimise disruptions.

Staff Management - Oversee the day-to-day management, training, and development of team members, ensuring a high-performance work environment.

Performance Metrics and Reviews - Implement and monitor Key Performance Indicators (KPIs) at both team and individual levels to measure and improve operational efficiency and staff performance. Conduct regular performance reviews to assess and improve team and individual performance.

Team Motivation - Foster a motivating and inspiring work culture that encourages team engagement, high morale, and positive work ethics.

Process Documentation - Develop and maintain comprehensive documentation of all operational processes, ensuring clarity and consistency in execution.

Process Optimisation - Continuously identify and implement improvements in operational processes to enhance productivity, quality, and customer satisfaction.

Senior Management and Team Liaison - Serve as the primary point of contact between the operations team, senior management and other departments, ensuring effective communication and alignment with broader business goals.

Quality Control Oversight - Ensure products meet the brand’s standards and customer expectations.

Inventory Management - Oversight of and ordering of products and materials to ensure availability and cost-effectiveness, building strong relationships with our core suppliers and understanding their operations.

Customer Service Excellence - Ensure the company provides outstanding service and support, resolving issues promptly.

Collaboration with the Design Team – Comprehensive understanding of product specifications and ensuring accurate production execution.

Required Experience and Attributes:
Work Experience - A minimum of 6 years of experience in operational roles, with a proven track record of leading teams in operations and production environments.

Leadership and Training Skills - Demonstrated experience in managing and developing high-performing teams, with strong leadership, problem-solving, training, and decision- making abilities.

Communication Skills - Excellent command of English, both written and verbal, with the ability to effectively communicate across all levels of the organisation.

Process Expertise - Experience in documenting, analysing, and optimising operational processes, with a keen eye for detail and efficiency.

Performance Improvement - A history of successfully tracking and improving KPIs, with a focus on operational excellence and quality output.

Technical Proficiency – Experience with software and systems for inventory management, scheduling, and productivity tools.

Problem-solving skills - The ability to address production challenges and customer service issues effectively.

Adaptability and flexibility - The capacity to take on a range of tasks as required, fill in gaps that may develop, manage change and lead the team through transitions. 

Attention to Detail and Retention – Strong attention to detail and the ability to remember details about customer orders, statuses, and issues.

Education - Relevant formal qualifications will be considered, particularly those aligned with operations management, such as a management degree or certifications in process improvement methodologies (e.g., Lean Six Sigma).

Additional Considerations:

Prior experience in the jewellery industry or high-value product sectors is advantageous but not mandatory.
