About the Role
Operations Coordinator (Fixed-term, Full-time)
Join our dynamic team as an Operations Coordinator on a 12-month fixed-term contract. This role offers hybrid work arrangements, with three days in our lively Alexandria office (Mon-Wed) and two days remotely (Thu-Fri).
As the Operations Coordinator, you will play a pivotal role in ensuring the seamless functioning of our Guided Holidays. Your responsibilities will include coordinating pre-trip documentation, liaising with road crew and internal departments, and handling administrative tasks to support operational efficiency.
Responsibilities:
- Coordinate pre-trip documentation for Australian Travel Directors
- Prepare on-road administrative documents
- Facilitate Travel Director relocation flights and accommodation arrangements
- Handle road issues, late bookings, and trip amendments
- Maintain and update the TEAMS Travel Director site
- Process Travel Director wages, trip advances, and commissions
- Review and process Specific Needs form applications
- Assist with TOPS and new season optional sales information
- Manage guest feedback questionnaires and reporting
- Update Crew instructions and assist in organizing crew meetings
- Arrange guest airport transfers and provide crisis/emergency support
- Address enquiries from various departments and investigate guest complaints
About You:
The ideal candidate will possess:
- Sound knowledge of Australian Geography
- Proficiency in Microsoft Office suite
- Familiarity with AAT Kings product (desirable)
- Excellent time management and multitasking abilities
- Strong administrative and analytical skills
- High attention to detail and accuracy
- Proactive attitude and ability to work independently or in a team
