About the Role:
As a vital member of our team, you will be entrusted with delivering high-level office management support to our Kiama office. This role necessitates a hands-on approach with your primary responsibility being the successful management of office operations and team support.
Day-to-day responsibilities:
- Ensure the office and reception area are clean and tidy at all times.
- Serve as the first point of contact for all clients in person and over the phone, handling enquiries efficiently, friendly, and professionally.
- Maintain and update the Staff Leave Register.
- Organise and prepare monthly/weekly sales meetings, including taking notes and distributing meeting minutes.
- Ensure compliance with ongoing training/professional development requirements and maintain current registration or licence.
- Conduct weekly audits of sales files and ensure all staff follow correct compliance procedures.
- Manage the onboarding of all new staff, including training on office systems.
- Assist in the preparation and coordination of marketing material and social media content.
- Ensure all property listings are up-to-date and compliant.
- Oversee settlement processes, including preparing settlement gifts and liaising with solicitors and vendors.
- Manage office equipment, stationery orders, and general office supplies.
- Handle trust accounting tasks, including receipting, bank reconciliation, and trust audits.
