The Operations & Scheduling Manager is a true all-rounder’s role, providing diversity and professional challenge to an up and coming construction administrator, scheduler or estimator looking for a step change in their career development. Working in a cloud-based scheduling and job management software package, they will lead the provision of maintenance services and job management for all work across Melbourne from head-office. The business operates on weekdays only, so we do not require commitment for any Saturdays in this role. Detailed responsibilities of the role will include:
- First point of call for receiving jobs via phone and email utilising the cloud-based management information and reporting system.
- Triaging projects based on complexity and urgency for estimating, deployment and desktop solutions.
- Supporting pre-site administration related work with building documentation, client approvals and necessary financial approvals.
- Supporting the onboarding of construction suppliers and trades as necessary.
- Supporting customer enquiries and facilitate the resolution of those enquiries.
- Rescheduling jobs based on priority and/or high-volume events to support client and customer requirements, including rostering of staff and trades.
- Assisting in meeting client contractual and compliance expectations.
- Providing administrative support through the processing of jobs, invoices, archiving and other duties as required.
- Prior experience in the construction/property industry within contracts management, scheduling, estimating, administration or project management.
- A strong customer service ethos with an excellent phone manner.
- Proven ability to trouble shoot and effectively meet deadlines in order to deliver on agreed performance standards.
- Outstanding written, verbal and interpersonal communication skills and the ability to liaise with many different types of people in a positive manner.
- A hands-on, organised multi-tasker capable of delivering work with a high attention to detail.
- Strong IT skills, in particular Microsoft Outlook, Word & Excel plus experience using cloud based job scheduling software packages.
