THE ROLE
As we are growing, Whelan MB has an amazing opportunity for a part - time Contract Administrator to join our team. The role involves assisting our Head Estimator/ Contract Administrator to complete the following tasks:
- Providing a high standard of office administration services to ensure the smooth and efficient running of the business.
- Developing effective working relationships with a broad range of clients, contractors, consultants and internal customers.
- Showing an understanding of the commercial and residential building process.
- The ability to read and interpret architectural, engineering working drawings, soil reports and specifications relevant to all construction projects.
- Site set-up – manage site set-up checklists, produce signage and prepare office and site folders; OH&S requirements for the site
- Administrate and manage - RFI's, Variations, PC/ PS allowances, EOT's, AI’s etc.
- OH&S – ensure all subcontractors comply with safety induction and insurance requirements.
- Liaising with site-foreman/ Construction manager on job programs, RFI's, variations, AI's, shop drawings, issues, permits, budgets, claims, other. Ensure everyone is “in the loop” and the project is on schedule.
- Attending site meetings occasionally, may need to take minutes and action.
- Contacting the architect, Engineers/ Subcontractors for issues, changes to drawings, costs, other.
- Issuing work/ Supply orders to the successful contractors/ suppliers, to be signed off by the Construction Manager ensuring returned signed agreements and OHS documentation are received from all contractors before they commence works onsite
- Providing assistance to Site Foremen in establishing the site office files and procedures in accordance with the requirements of the Integrated Management System.
- Coordinate orders and deliveries to sites in conjunction with the Construction Manager and Site Foreman
- Regularly review the construction programs with contract admin, site foreman and Construction Manager.
- The compilation and distribution of client handover package at practical completion stage of the project
- Manage project defect register
ABOUT YOU:
To be considered for this role, you will demonstrate:
- Demonstrated experience in construction administration
- Minimum of 5 years’ experience in the construction industry
- Strong ability to interpret all working drawings and relevant construction documentation
- A high attention to detail, ability to think ahead and plan accordingly; have good time management and be well organized
- Good communication skills - written and oral
- Experience in the use of Procure is a distinct advantage but not essential
- Intermediate skills in MS Office
