About the Opportunity 

Do you have a genuine passion for working in a school for disengaged young People and helping them discover their future pathway, recovery, and hope? 

We are looking for a highly organised and detail-oriented Project Administrator to join our team. The ideal candidate will assist in the planning and implementation of various projects while supporting the Director of People and Culture in coordinating and managing project tasks and activities at Alta-1 College.

As an independent, co-educational CARE (Curriculum and Reengagement in Education) School, Alta-1 is a Christian organisation that works with students from years 7-12. We provide students with wraparound support to guide them on a journey of recovery through a trauma-informed approach. This approach helps students acknowledge, confront, and resolve barriers that have impacted their ability to reach their full potential.

The Project Administrator plays a pivotal role in supporting the Director of People & Culture, ensuring that every project runs smoothly from start to finish. Your innate love for order and meticulous attention to detail will set you up for success in this role.

You’re a natural problem solver whose ability to provide seamless project support in a dynamic and fast-paced environment will contribute to vital work that supports the College in achieving its strategic goals.  You will wear multiple hats, handling everything from project documentation and data management to communication and workshop coordination.

You can build and maintain relationships with a wide range of stakeholders. Your excellent communication skills ensure that all project stakeholders remain involved and informed throughout the project lifecycle. Whether working independently or as part of a team, you bring adaptability, approachability, and warmth to every interaction.

Tech-savvy and versatile, you can switch between different systems and platforms with ease. Resourceful, you can assist with the creation of content and workshop assets. Your flexibility allows you to travel when necessary, supporting the delivery of workshops and other essential face-to-face meetings.

If successful, you will be responsible for the delivery of the best possible duty of care considering the values and objectives of Alta-1 College. 

Here's a snapshot of the job:

As Project Administrator you’ll work closely with the Director, People & Culture and project teams to facilitate planning, monitoring and documentation to ensure projects are completed on time, within budget and meet expected standards. Your responsibilities will include, but may not be limited to:

  • Assist and support the Director of People and Culture in planning, coordinating, managing and implementing various People & Culture projects.
  • Create, organise and maintain comprehensive project documentation, plans, and reports including project proposals, timeframes and budgets.
  • Conduct user research, such as exploring user/client requirements and interrogating relevant best practice case studies.
  • Consult with stakeholders to identify and define project requirements, scope, and objectives.
  • Break projects down into doable tasks and set timeframes and goals by creating and updating workflows.
  • Schedule regular meetings and record decisions, including assigned tasks and next steps.
  • Function as the point of contact communicating project status to all stakeholders.
  • Prepare and provide documentation to internal teams and key stakeholders, keeping everyone informed.
  • Assist with tracking expenses and predicting future costs.
  • Manage project resources including the coordination of project schedules, resources, equipment, and information.
  • Monitor project progress and assist with addressing potential issues before they become problems.
  • Performing quality control check-ins on the project throughout development to maintain expected standards.

  • Proven experience as a Project Administrator or similar role
  • Demonstrated skills and capabilities:
    • Excellent organisational and time-management skills
    • Strong attention to detail and problem-solving abilities
    • Proficient in project management software and Microsoft Office Suite
    • Ability to work independently and as part of a team.
    • Excellent communication and people skills
    • Ability to multitask and prioritise tasks.
  • Demonstrated passion for Disengaged, Disadvantaged, or At-Risk Individuals
