Job description

Durkin is seeking a diligent, focused and proactive team member to take over as our company’s Office Coordinator

The Plant and Office Coordinator will be responsible for maintaining a safe, secure, and pleasant work environment while overseeing office administrative duties and plant coordination. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks independently. The successful candidate will work directly under our Commercial Manager and collaborate with various departments to ensure smooth office operations and effective plant management.

Your duties will include:

  • Maintain a safe, secure, and pleasant work environment 
  • Perform receptionist duties: greet visitors, and answer and direct phone calls
  • Maintain the office condition and arrange necessary repairs for Plant and Equipment
  • Handle Plant and equipment project induction, stock replenishment and project specific items
  • Assist with Plant and equipment registrations, calibrations, and Test & Tag processes.
  • Manage and maintain Fuel/ Toll Accounts
  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Provide administrative assistance for IT Management and Sales Administration
  • Implement and maintain procedures/office administrative systems
  • Managing PPE Purchasing and Allocation
  • Coordinate international onboarding, including booking flights, filing documents, booking accommodation, organizing phone plans, transport, and driving lessons.
  • Organize office operations and procedures, control correspondence, design filing systems, review and approve supply requisitions, and monitor clerical functions.
  • Support HR functions, including updating personnel records and arranging interviews.
  • Liaise with staff, suppliers, and clients.
  • Identify and implement process and Office management improvements.
  • Liaise with facility management vendors, including cleaning, catering, and security services.
  • Manage office supplies inventory and place orders as necessary.
  • Receive and sort incoming mail and deliveries, and manage outgoing mail.
  • Utilise a range of online software packages, particularly Microsoft Office 365.
  • Plan in-house or off-site activities, such as toolbox’s, parties, celebrations, and conferences.
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, conducting research, and creating reports.
